- Plan in advance. You will save a lot of $. - Plan travel/ lodging early - Early bird discounts - Ship to advance warehouse - Prioritize the RIGHT show over many shows.

Why? Why? Why? Think deeply before committing on a Trade show participation. Am I looking for leads? Am I looking to introduce myself in a new market? Am I here to keep in touch with my regular buyers? Am I here because my competitor is? Reasons may differ.. what is your reason?

Have knowledgable well spoken appealing people manning the booth.......and ample samples of products to sell or offers on services, etc....

-Gather all other vender and attendee information ahead of time and choose who you need to reach ahead of time in a sending order. -Have special material set aside for clients you really want to obtain and have basic info for other visitors to cut down on marketing material costs - Skip the landfill giveaways, get cards for a large drawing and write level of interest on the back of each card

Remember the little things. Sometimes what seems obvious isn't part of the trade show package. Things such as electricity at your booth, wifi, or even carpet can be additional costs for you to incur. Work closely with the conference logistics teams and they will help.

There’s a fine line between “efficient/economical” and “amateur/farmers market”. If you go too DIY you risk looking too unprofessional and won’t be taken seriously. But there are definitely ways to optimize booth design on a budget - look at big, easy to set up simple backdrops to showcase your brand. Bonus points if they have lighting inside or above. Table drapes or table cloths can dress up the tables you’ll likely get as part of your booth and can help give a professional look. I recommend to clients a form fitting “table stretch” in lieu of a plain drape. And don’t underestimate the power of custom printed shirts for staff or other memorable items featured in your booth.

Portable booths can save on Material Handling. Drayage fees are billed by General Contractor for # transport of your materials from advance warehouse or venue dock to your exhibit space, # pickup/storage/return of empty containers # transport from your space to the shipping vehicle at the end. 1. Hand carry allowed Even small packages are billed a minimum weight/fee but if you can hand-carry your small portable booth and tradeshow materials, you can walk it in without incurring material handling charges. 2. Ship to hotel Ship your packages Ground to your hotel. Note: they may refuse if too many days before check-in and must say Attn. GUEST (name). Load onto taxi to the convention center. Voila! Remember to keep boxes to ship these back.

ON TIME: If your top concern for an upcoming tradeshow is budget, try to get your plan together long before the tradeshow starts so that you can order merchandise and promotional products early. The sooner the better — longer lead times will allow your provider to source the lowest prices for what you have in mind while still getting it into your hands on time. For example, you'll pay less for lanyards with a 35-day lead time than you would with a 5-day. In other words, you're almost always going to pay significantly more for prints and materials if you wait until the last minute.

Are you having to send materials interstate or overseas? Are there other businesses in your location doing the same? Can you make contact with them and pool your shipping so that you can share the lower base costs of teaming up? Contact the organiser and ask them if they have exhibitors that are looking for the same thing as you. A lot of shows have WhatsApp groups and you can be in touch with other exhibitors. There is money to be saved.

When shipping small items, condense if possible. Material handling fees are generally charged per item rec'd not per company. This means if you ship 5 boxes & they are all under 100lbs, you'll get charged 100lbs x 5. If you can condense to stay under 100lbs, you can save a lot. For return, check for local FedEx/UPS stores if there isn't one in the venue. Also check with your hotel to see if you can ship your items out with theirs. If your sales rep can take the items somewhere to be shipped back, you will save money. More often than not even if you schedule a pickup, FedEx/UPS do not look for exhibit halls. This means your items will go with the show carrier on a freight truck & you will be charged $1000 for a 50lb box instead of $100.

ON LOCATION: Rather than an in-house or online printer, consider working with a print management company with a broad range of material sources, print facilities and manufacturing plants for any printed materials or tradeshow giveaways. The right print provider will be able to partner with print shops near your tradeshow's location so that even if you don't know about your needs well in advance, you can keep costs low by dodging overnight shipping from far away and avoiding the hefty prices of office supply stores.

Is it better to use an outside provider that is perhaps cheaper and you already have a relationship with? Or do you go with the preferred supplier that will have better knowledge of the venue and give you more confidence that the materials will actually arrive. The greater cost may well be worth the reduced anxiety.

Having worked both as a contractor within exhibition events, as well as Event Manager / Director bringing events to exhibition centres or venues, I've generally always used the preferred supplier of that venue, for logistical requirements, rather than an independent or non-preferred. While typically more expensive, the peace of mind knowing your freight will be door to stand (or venue) and return under one supplier is worth every cent of any additional cost. Plus the customer service on site saves time and energy trying to track down missing freight.

Fun Fact! Trade Show organizers WANT to help exhibitors so they can become long time partners! So don't be shy! Ask for help!! But before you ask the professionals, plan with purpose! Know your "why" & get ready to do your homework because trade shows require major prep work! Once your team has identified an event that satisfies your strategic needs, set some realistic goals that you can measure post show! Make sure you include a budget & overall plan that allows your team time to build presence within new markets (we recomend at least 3 shows before that ROI really comes into play). You don't need swag to attract customers. Sure you could get a few extra people that stop by this way to see what you have that HAPPEN to also be a good prospect. But your good prospects will come regardless of the stuff you have at your booth - so save the money (and the earth for that matter).

On the swag idea, give out swag to exclusive clients who have helped build your brand, as a thank you; but provide it in a way that they want to show it off and drive more business for you. Make it an exclusive club that others want to get in on; and if they are not the right prospect, they'll help drive the right prospect to you.

What I recommend - to everyone, but especially to those on tight budgets - always attend first and if you see the value , next year get a booth etc. Sometimes just attending will get you all the leads you need and will also give you information about the value of the event for your company.
