Struggling to engage all team members in virtual Agile meetings?

When we know the directions we can travel easily. Similarly when we have the agenda set prior to the meeting, we can focus on those points and bring up things that are important. All participants in the meeting are encouraged to be prepared and clarify their doubts and ask questions to make meetings more engaging and useful. Ideally one should be prepared before the meeting to to ask and rather than thinking during the meeting.

Engaging all team members in virtual Agile meetings can indeed be a challenge, but here are few strategies we can implement to promote participation and collaboration. 1. Setting Clear Expectations by defining Roles and sharing a clear agenda ahead of time, outlining what will be discussed and what is expected from each participant. 2. Utilizing Interactive tools like Miro etc for brainstorming and visual collaboration. Using polling and voting opinions to gather opinions and making decisions quickly. 3. Establishing action-oriented meetings with actionable tasks and assigning the ownership which keep team members engaged in the outcomes. 4. Limiting meeting length 5.Encouraging team members to turn on their cameras.

Before starting an Agile meeting online, ensure all participants grasp its purpose and their roles. Distribute an agenda beforehand, prompting team members to prepare updates and queries. This approach not only maintains focus but also fosters inclusivity by encouraging proactive participation.

What I like to do is always review the agenda with the team and ask everyone if they agree and if they'd like to add anything to it. By doing so, everyone feels that they're part of the team driving it, rather than them feeling like the agenda has been forced upon them. Another thing id to use the collaborative tools effectively. If the feedback sought isn't anonymous, I usually have an emoji represting everyone so that they feel encouraged to interact more.

The meeting must have a detailed and focused agenda and the steerer(SM) has to ensure this remains focused without any distraction. 2. Very Important to talk about actionable points and the team needs to have an understanding of what is expected from them. 4. After the meeting, ensure to share the MOM and AI owner.

As we all know, agile meetings can be very fast pace however, sometimes teams have a tendency to veer off-topic. It’s very important that we are able to focus on the task at hand and say “Lets parking lot, this item and come back to it at a more appropriate time”. End with a quick round of feedback on the meeting itself. What hit the mark? What missed? This shows you’re not just there to talk but to adapt and improve. It is all about continuous improvement cycle that respects and integrates team members experiences and suggestions into future meetings.

I strongly believe personal connections are essential for successful remote meetings and remote work in general. This principle should be embedded in the company's culture and promoted at all levels. Personal connections can be broken down into two main components: trust and ownership. Trusting your team is crucial, and equally important is fostering a sense of ownership among them. These elements must flow in both directions. Establishing strong personal connections sets the foundation for success, not only in remote meetings but also in achieving broader business objectives.

The most common Agile meetings are the Scrum ceremonies, which have format more or less defined by the Scrum Book. Consider taking time with the squad or team to find a format that make sense to them, foster empowerment and let them lead the meetings as much as possible to keep the team motivated and engaged.

Como Agile Coach, utilizar preguntas que llamen a la reflexión, a la responsabilidad y a la acción es nuestro día a día. En las ceremonias de Scrum sobre todo.
