How would you adjust your speech delivery if unexpected time constraints arise?

I build flexibility into all my speeches by using very simple PowerPoint slides as bullet points. Each and every slide has one simple supporting image; no detailed graphics or charts. ? The first Introduction slide has 3-5 topic bullet points. ? The last slide has 3-5 take-away strategic implications bullet points. ? All intermediary slides have one simple bullet point. In this way, I can easily shorten the presentation by not elaborating very much, if at all, on the intermediary bullet points. Indeed, I once reduced a 50-minute afternoon Keynote to 15 minutes because they were running overtime due to lengthy earlier speakers. They asked me to try to present within 19 minutes. I met the goal easily -- and got a standing ovation!

Well, I have been in this situation during my group presentation. My technique is to concentrate on the most important and relevant points that needs to be sent across and to have a well prepared slide deck which would speak for itself. You will be able to do this when you have a well prepared and rehearsed delivery script and the knowledge of your audience.

If you have not planned your points we'll it will lead you into time constraints. If you ever do find yourself in such a situation speak what is required and give maybe a one liner to explain what it is so that your audience is not left in the dark.

This problem comes up often. This is why it's always important to know your audience (so you can skip the stuff they already know), know what your call to action is (why are you presenting? What do you want your audience to walk away with), and know your bottom line (this is your "if you remember nothing else, you need to remember this _____" sentence).

I have always espoused the 'windows' approach. Draw a window with 4 panes on a blank piece of paper. Draw the main point you want to use to kick off in window 1. Then draw 2 key points you want to make in windows 2 and 3. Draw your close in window 4. If time is short or everything collapses, close your eyes for a minute, picture the windows and deliver.

While the audience can "hear faster" than you can speak - I'd caution against rapid fire delivery. Better to dump several points and skip to the bottom line. Let the audience know where they can get your presentation and more info ... and end with your strongest and most compelling points.

-Before any speaking engagement, know the most essential points to make, just in case you have less time than anticipated. -As you presumably are prepared, be comfortable with going off script and being completely in the moment. -Cut the fat. Avoid extraneous information and unneeded repetition. -Start with something memorable. I like a joke or funny anecdote that leads into the topic. -Demonstrate passion for your topic from start to finish. Your passion translates to energy. -When and if appropriate, include statements of conviction and insert sincere feelings. -Illustrate the most key points. I prefer telling a relatable story, then making the point. -Don't rush. Make deliberate choices on when to summarize and when to go into detail.

By maintaining a structured yet fluid approach, you can ensure your speech remains engaging and informative, even within a shortened timeframe.

Knowing your material inside and out is crucial when dealing with unexpected time constraints. When I truly know my presentation, I can gauge almost exactly how long I typically talk on each slide or topic. This familiarity allows me to identify spots where I can shorten stories or skip them altogether if time doesn't permit. Practicing your material thoroughly and having a solid idea of how long it takes to deliver not just the entire presentation but also each transition is essential. This level of preparation enables flexibility and ensures you can still deliver a cohesive and impactful presentation even under time pressure.

If you have a presentation that you know you're likely to need to give several times, it pays to prep a few versions in advance. Having a 15 minute, 30 minute, and 45 minute version of the same content gives you more flexibility when accepting speaking slots, and it also gives you a better grasp on what in your presentation is a must-have.
