How do you verify quality systems and standards?

1.Conduct MRM in every 6 month at management level. 2.Internal audit for every department in 6 month. 3.Monthly review needed at department level. 4.Review all Reports, Quality communication. 5..Check all internal and external stockholder communication ( NC). 6.Check complaint log book with closing status of complaint. 7. Check Training and skill matrix of employee.

If possible apply KPI's to your objectives, a couple of objectives with associated KPI's; 1. Supply defect free product - KPI measure and report external and internal Non Conformances 2. Supply product on time - KPI measure On Time delivery.

A firm's quality objective is to offer a better product and service to its customer than the previous situation. In some cases, maintaining the status quo may also be a quality objective. In cases where the industry has contracted or a new product/service provider has entered the system, this consideration may be meaningful. But, in quality, the goal (aim) is always to provide access to something better, more beautiful, more effective or more convenient, etc. Ensuring the continuity of the product or service provided is another important goal. We must be aware of our responsibility towards people/ companies who are affected by our product or service.

As much as possible, internal audits should be planned based on normal business life rather than on a best-case basis. In my opinion, internal audit is much, much more important than external (both certification and IInd part) audit. It is ensured that the QMS is disseminated to the base by inspecting different processes by someone who knows the company and its processes (1). In addition, an internal auditor is either a customer of or provides input to the process he or she is auditing. In this case, he can contribute to the more effective establishment of the process he supervises, or he looks at his own process and sees what he can improve (2). Therefore, internal audits are very important.

Internal Audits are very important in improving the QMS. It identifies the gaps and also prevents certain nonconformities . It is also best to be doing intra departmental self Audits this will enable the departments to address the issue at that level before it leads to a bigger situation that cannot have a CAPA.

Internal audit is very effective tool to knowthe level of the systems. While planning need to assess the KPI of all processes, customer concerns, feedback from third party audits, customer audits, CSR and internal process audits , feedback from internal customer. Derive a checklist based on above inputs which will help to deep dive into concern areas , to find systemic gaps. It may be due to guidelines, understanding the requirements, difficulty in following laid down rules or else lack of awareness. It helps us to mitigate the gaps , strengthen systems and also builds confidence among process owners to demonstrate their process in external audits

Prepare and issue a monthly report that covers the main processes and agreed KPI's to top management. The report should also be available to all staff in the organisation. I would include the following in the monthly report; 1. Customer Complaints (CC's) and REPEAT CC's. 2. Internal Non Conformances (NC's) and REPEAT NC's. 3. Internal Audit report and any raised NC's. 4. All 2nd and 3rd party audit reports and any raised NC's or OFI's. 5. Performance of agreed Quality KPI's. Etc, etc......

Continuous improvement is one of the main goals of quality, in my opinion. If you do not review the system from time to time, you cannot understand the direction of the system. First of all, it is an important step to conduct due diligence (with accurate, sufficient and quality data), process reviews, internal audits/checks/quality controls and review the overall system. Afterwards, we can make improvements by using CAPA, 8D or other tools. These are important for predicting the future of a company, but we should not forget RISK-based thinking. This is an most essential approach to identify improvement steps before problems occur.

Conduct a Management Review either every 6 or 12 months and share the report with all employees. Lastly try and turn any negatives into a positive spin for the company.
