How do you reach out to difficult-to-reach podcast guests?

The main research you want to do that will be the determining factor for whether the guest will appear on your show or not is this: What do they have going on that they want to talk about? If they're in a season of CREATING, not PROMOTING, the answer will be no. And, we, as podcasters, need tor respect that and not push. If, they're in a season of PROMOTING, then, we have a shot! Figure out what they're about to release: Is it a book? A course? A new social media channel? What are they working on? Position yourself as a PROMOTING partner for what they're doing. You provide a platform to them. (Remember, only when they're seeking it!)

I listen to other podcasts that they have been on and see if we have any connections in common and ask for a referral. Or I find a charity or cause they are passionate about and try to create a value add.

Read their communications needs very carefully and comply. Yes! You are being tested! If there's an online form they want you to use, use it! Give all the details they request. And, if you can find connections in common who truly know the guest ask for advice as to what you should do. A good fit won't need to be a hard sell. If you are trying too hard you are not a good fit. A lot of times you are going to get your "yes, let's set up a time," based on a gut feeling. A gut feeling that you are authentic, you will benefit the interviewee as much as he or she will benefit your program, and the conversation will be an easy one. It's like a good date. If you're trying too hard to impress and it doesn't come easy it is simply not meant to be.

Not surprising is that people enjoy talking about things they're involved and themselves if simply asked. This is not complex really, hard to reach try sending a clear message with the information required to obtain their attention and they will respond. Today there really is not a to small platform sense the replay will reach far more audience if the topic is interesting enough. The person may not have all that much of an interesting life, so make sure you're booking them because they have written something worthy of gathering a larger audience. Just because they are on a podcast doesn't mean they have anything to say.

Popular guests are pitched constantly. To make your pitch stand out and be noticed, you must send more than just a generic "Will you come on my show?" Do some research into who they are, what they like, where they've been, etc. and include that in your pitch. The more personal and precise you make your pitch, the better your chances of getting a reply. Be sure to include anything you have in common. Are you both parents of twins? Do you both like to skateboard? Did you attend the same school? Things like this could be the difference that turns a NO into a YES.

Don't bury the lead. Most people skim their emails, especially when it looks like a pitch. Put the most important information at the top. Who you are, what you want from them, and why they should agree. Follow up with information about your show and your process moving forward. The easier you make it to skim, the better the chance they'll get the whole message.

If you're going to mention a guest's accomplishment, be sure to name it. Don't just say you like their book/podcast/show/movie/etc. NAME IT! Let the guest know you are familiar with their work by actually naming their work. And if possible, use a reference or quote from it. I have a few podcasts in different niches. I ignore all pitches that say I like your podcast but fail to mention which one. If they couldn't bother to do a little homework, there's no reason I should I bother with them.

Start with the #2 referral. People who are difficult to reach are usually in high demand because they are so good. Most often, they have personal assistants, segment producers, EA's, content creators, videographers/designers or business partners, teammates... whom they work closely with every day. These are people that they trust. So when you connect with the #2 person in their circle, you can build trust and add value, when the time is right that person can make the recommendation for you to connect with them and now they take your call willingly.

One way to increase your social proof is to ask past guests to write a quick testimonial for you as a host. After I interview a guest, I also provide them with a quick testimonial for them as guests and ask that they provide me with a testimonial as well. Showing a potential guest that you will make their experience on your show an outstanding experience will help you create credibility and authority.

Before you can mass followers, you have to do some work. If you have less than 100 followers and need to book podcast guest speak to people with 200 to 300 followers. When a guest declines your request, follow up by asking when a good time might be to try again. You'd be surprised how many will provide a better time for you to reach out again.
