How do you proofread a report or proposal for clarity?

Line by line. Take your time. Make sure it makes sense to you. And don’t get emotionally invested in content. You’ll read it how you think it instead of how it’s written. Typos are often missed that way.

It helps to take out qualifiers. Words like "very," "extremely," or "somewhat" actually weaken what you're trying to say. For example, "The results were very surprising," is not as strong as "The results surprised us."

If it's hard to say, it's hard to read. The tempo and rhythm of words makes a difference, even when read silently. Reading aloud helps highlight those bumpy spots.

One thing I found helpful was reading line by line at least twice without rush. Often you miss spelling errors as your brain automatically corrects it when you read.

Content writing should be so effective that you write in the context where your ideas/ vision /,feedback/ contribution are clearly sinked on the topic you would like to add some of your thought process and great value added outcomes . One can always re assess the content once you have done with writing and use both the tools such as manual and proof reading to enhance your content !

I try to use simple words, always use third person and avoid emotions or adjectives that might distract the main idea. As English is not my first lenguage I double check Grammar and spelling as well.

One thing that I have come to find useful is to use the basics.. for me, the 7Cs of communication have always helped in editing and proofreading anything that I have written. Two more things that have helped me are.. 1. Plan and prepare before you start typing 2. Once you have finished the task, give yourself a short break and then only start proofreading and editing.

Use checklists for vertical reviews and horizontal reviews. Don't try to look for everything simultaneously, things will get missed. Breaking up the review also helps maintain alertness.

My hardest won lesson as an editor has been learning how to balance my own perspective against that of the report author(s). Especially in technical reports, it is important to set aside your own idea of how best to phrase an idea and really listen to what the subject matter expert wants to say. An editor's expert knowledge of English isn't always enough to decide the "right" way to phrase a technical concept.

I agree with @Ann Jenks. Checklists are KEY to quality proofreading. Checking only ONE ITEM AT A TIME might seem inefficient. But when you're proofing hundreds of pages, not only is it highly efficient but it's also faster and less vulnerable to proofreader errors.

My perspective is as follows; Recheck for the commonly mistakes and errors you make and keep an eye out for them and read the text backward to identify any mistake, read carefully and slowly, double check everything.
