On the other hand, if you attempt to control or restrict the contributions that meeting participants are able to make, they may feel that you are being unfair. Be clear on how the format of the meeting will enable you and everyone present to achieve a shared objective.

Objectives are what the meeting aims to achieve, such as discussing ideas or reaching a conclusion. They help everyone stay focused and know what they need to do. Time management is one of the most important challenges for the host of a Business Meeting. It is crucial that you achieve the goal of the meeting, in as short a time as possible. With this in mind... Establishing the goal is the first step. Communicating the goal to all attendees is step number 2. With these two steps in place well before the meeting takes place, you are providing everyone the time to prepare for their contribution and thus reducing any time waste.

It's also really important that everyone has fully understood the contents, particularly if you have an international audience. If someone is reluctant to speak out (perhaps due to lack of confidence in their communication abilities), you could also open the way for them to contribute their ideas independently. As a manager, this is your call. You do not want a huge influx of ideas AFTER the event.. this is a real waste of your time. However, if someone has a particular challenge, it is worth adressing.
