How do you measure and monitor the key performance indicators and metrics for preventive maintenance work?

Preventive Maintenance programs effectiveness monitoring is a very key step in optimizing the overall maintenance costs. Usually when a facility or plant is newly constructed and maintenance engineers do not have enough data to predict the equipment behaviour, In that time time bases PM could be used but as the behaviour of machines starts to reveal, then it becomes a high time to measure equipment reliability and availability. Common reliability metrics like MTBF and MTTR are not always a good measure of PM program and they do not always reveal the true condition of assets. In order to achieve maximum results from a PM program, there designing philosophy must be right and I would recommend to design Reliability Based PM programs.

I know it seems overly simplistic, but the most valuable metric has been machine availability for me. I don't need the minutia of detail to know that if I'm high 80 percent low 90 percent machine availability that all other programs are effective. Using just the one metric moved us from preventive/reactive to predictive and preventative as a company. It nearly eliminated unscheduled breakdowns to just a few ghosts in the machines from previous administration's.

Metrics such as MTBF, MTTR, PMC, and PMR offer detailed insights into specific aspects, enabling a more granular analysis of performance. In addition to this, consider incorporating leading indicators into your evaluation. Leading indicators, such as early detection of potential issues or proactive identification of equipment vulnerabilities, can provide a forward-looking perspective. This anticipatory approach enhances the PM program's agility, enabling adjustments before issues escalate, ultimately contributing to improved overall performance and longevity of assets.

In my opinion, KPIs and metrics should drive positive behaviour among employees. Quality of data for calculating KPIs and metrics is very important. Data should be simple to collect and comprehend but at the same time it should be difficult to manipulate. To determine overall effectiveness of any PM program, metrics should include both the leading and lagging indicators.

Use of a CMMS is a must in order to maintain constancy in the data allocation especially when data is coming from multiple business units. As with any system however cleanliness of the data is the key. Clean data in clean data out!

For instance, if during a PM, filters or oil appear to be in good condition, you can extend the replacement interval on non-critical equipment. It can help reduce PM costs while maintaining equipment reliability.
