In my opinion, setting SMART goals can also help to stay focus and motivated. When your work is measurable you can see how your efforts are making an impact even before you complete the task.

Some things are urgent but not important, so we must learn how to prioritize and categorize what are those things that are urgent and important and those things that are urgent but less important. SMART GOAL is one of the best ways to achieve the task but firstly we have to maintain TO DO LIST on a daily basis and act accordingly which can help us to track our work easily.

In my experience, prioritizing your tasks can be tricky. The reason is often we have assignments that are a priority to someone else along with tasks that are a priority to your specific job. We need to make sure that we are staying on top of things you are specifically responsible for while providing great internal customer service. You need to ask questions when given a task to assist with your time management of all your tasks.

- An example of a technique that has worked for me time and again is the GTD method taught by David Allen. I have always been a list maker, so this method came naturally for me. I appreciate having tasks grouped by the project (or client), as well as having a list of people that I’m waiting for something back from. Each of my lists keep me focused on where each project or client’s work is and what still needs done so I don’t need to constantly review everything on my desk every day.

I've tried various list or task apps, but at the end of the day, I feel a physical to-do list is the best method to manage my time. I create a new to do-list every day and carry over anything that may not have been done the previous day. When I complete a task, I cross it off. This way, I can visually see what I am accomplishing instead of feeling like I've gotten nothing done.

One thing that I’ve found helpful is putting my phone in grayscale during the workday. I don’t get sucked into scrolling through social media or playing games since it just doesn’t translate the same way.

I feel that my biggest distraction is my phone. In order to eliminate this, I set it aside, out of view, with the screen down and sound off. Additionally, Iphones have a great feature where you can set a 'Work Focus' which allows you to choose what notifications, if any, can come through.

I agree with the importance of streamlining processes. This is very helpful and allow for good workflow and organization. This is also helpful with those that can get easily distracted, which happens to be a lot of us these days. Streamlining does require re-organizing regularly to remain effective.

Something that helped me a lot is having a must do list for organising events. There are certain things you need to have for every event that is being organised. That depends and varies across organisations. Also, evaluations after the events are important for your feedback and further improvements.

One thing worth mentioning is SOP. I have met many office staff who conduct one thing in various ways but the tasks are the same. Unify those similarities and establish SOP to get things done. Creativity or critical aspect is for particular assignments, not routine office tasks. Identify these essences first. Back to my old saying, innovate and reinvent the wheel are two different things. Do not feel that you need to prove something. Sometimes the old way has its reasons and fewer errors, and inheriting it is not necessarily bad. Remember, office productivity requires cooperation to make it smooth, not entirely individual performance.
