1 Define your impact goals

The first step to measure and improve your volunteer program impact is to define what impact means for your organization and your volunteers. What are the specific outcomes and changes that you want to achieve through your volunteer program? How do they align with your organization's vision, mission, and values? How do they benefit your beneficiaries, your volunteers, and your stakeholders? You can use a logic model, a theory of change, or a similar framework to articulate your impact goals and the assumptions, inputs, activities, outputs, and indicators that support them.

In my professional experience, I’ve learned that it is best to start by bringing a group of people together with diverse thoughts, opinions, and experiences that can elaborate on what kind of impact is needed and help formulate the vision and mission of an organization. Sometimes, we often learn of the gaps in our own personal experiences. For example, I’m a person with disabilities and I’ve learned firsthand that living in a state where social services for people with disabilities lack support, lack ability to transact with one another, lack ability to share ideas, and lack collaborative partnerships because we often are in our own silos. Knowing that, I aim to focus on the solutions through the support of innovation and partnerships.

2 Collect and analyze data

The next step is to collect and analyze data that can help you assess your progress towards your impact goals. You can use quantitative and qualitative methods, such as surveys, interviews, focus groups, observations, testimonials, stories, or case studies, to gather feedback and evidence from your beneficiaries, your volunteers, and your stakeholders. You can also use existing data sources, such as reports, databases, or statistics, to complement your primary data collection. You should aim to collect data that is relevant, reliable, valid, and ethical, and that can help you answer your evaluation questions and inform your decision-making.

Research, research, research! Why? When we learn from evidence-based research, it can guide us on best practices or help produce quality and effective programs. I often share that it is best not to duplicate efforts from other organizations that have a proven model! Another benefit of research is the ability to find the value proposition of an organizational program. If you are starting a new program, collecting data can be hard at first, although, it can be achieved by developing a strategic plan on how to collect quantitative and/or qualitative information through questionnaires and assessments. The more data you have can increase your credibility, dollars raised for the program, and ability to track your impact efforts in the community.

3 Communicate and celebrate your impact

The third step is to communicate and celebrate your impact with your beneficiaries, your volunteers, and your stakeholders. You can use different formats and channels, such as reports, newsletters, social media, events, or presentations, to share your findings, stories, and lessons learned from your impact measurement. You should also use this opportunity to acknowledge and appreciate the contributions and achievements of your volunteers, and to inspire and motivate them to continue or deepen their engagement with your organization and your cause.

Consistent communication is the keys to success! Social media is a great tool, if used correctly, to provide daily or weekly real time updates on your impact. Other ways to communicate is through quarterly newsletters or providing an annual impact report. Success can mean different things to different people. Celebrating your progress is great but do so with honesty. Another great way to celebrate progress is to recognize and thank people who have a vested interest into the program either as funders, volunteers, or even participants.

4 Identify and address challenges and gaps

The final step is to identify and address the challenges and gaps that may be affecting your volunteer program impact. You can use the data and feedback that you collected and communicated to identify the strengths and weaknesses of your volunteer program, and the opportunities and threats that may influence its future. You can also use tools such as SWOT analysis, gap analysis, or root cause analysis to diagnose the underlying causes and effects of the challenges and gaps that you face. Based on your analysis, you can then develop and implement action plans to improve your volunteer program design, delivery, and management, and to enhance your impact.

An analysis report can boost one’s ability to start a formal plan to design, develop, and launch a program. However, do not do this alone. It is crucial to have a support team and advisors who can help guide you through the ups and downs of starting a program. The report itself is a great guide but it all depends on how you deliver and execute the program.
