Develop your own method of tracking the communication preferences of all stakeholders, team members, and other people involved in your project. At the beginning of a new project, I create a document of truth with everyone's names, titles, roles/responsibilities, and top 3 methods of communication arranged in order of their personal preference. I will also include a visual aid that shows the best times of day each person prefers or is available to receive or review communications. I like to make it fun, visually appealing, and useful at a glance. I recommend getting creative, using Canva to create a fun infographic, and just remembering that you are keeping your stakeholders and team members a priority in your work.

Feel free to call out if something does not look right. Yes, there is a fine line between waffle and productive contribution, but this is where the skill of the team coach comes in. All team members should foster a spirit openness and transparency that leads to productivity. Let the creative juices flowing, less 'it can't be done' and more 'let's make this happen'. Once the team starts to get in to the zone of clear and productive communication, amazing things start to happen!

One thing that can be helpful would be a tracking document for both the stakeholders and the development team, so we can keep track of all the feedback. Then I would migrate the ones that add the most bussiness value into the backlog and integrate it within feature sprints, depending on our priorities.

Working in the face of ambiguity can also be a great learning experience. Due to a lack of the full picture, it’s usually necessary to work off assumptions, which can be validated and adjusted as time goes on. While this can be a bit daunting at times, it forces you to address problems with a “big picture” mindset and make decisions with confidence, knowing full well that you might be wrong. This instills a level of collaboration and creativity which product teams can embrace to create real value for their customers.

The planning is usually challenging in a new team - but with continuous retrospection and feedback - one gets used to embracing change and ambiguity. Keep working on "What's going well" and keep improving on "What went wrong" !

In my experience, staying lean and focusing on small iterations over time, versus big sprints including a lot of features, makes an environment of ambiguity easier to manage. Being locked into prescriptive commitments makes it more difficult to pivot when things change, especially when you don’t have all the information and you are working off assumptions.

It is important to keep some buffers during planning to make sure unplanned critical issues can be handled without affecting the sprint commitments. In case the uncertainties are causing huge deviations, then it's wise to negotiate with the Product owner and trade off the most important requirements with the less critical ones. At times, such frequent changes can lower down the team's morale and hence it's extremely important to take the team into confidence and help them understand the end goal/value add.

I believe good backlog refinement will also help reduce any ambiguities and uncertainties during sprint planning. In your refinement, you already know the stories that have a dependencies. Any stories that the acceptance criteria is not clear or that the dependency is not defined or clear does not meet the definition of ready which means such story can not be considered during the sprint planning.
