How do you handle situations where subcontractors neglect to follow safety protocols on site?

I stop the work being conducted and have a conversation as to why it was stopped, what the subcontractor has in place in their own safety program and what needs to be done to meet our site requirements.

If such kind of things happening at site it will be Major concern, first of contractor selection is very crucial part of basic work place safety ,To handle such contractors screening shall be done for the contractors including manegement that they are capable to handle site EHS requirement or not , contractor organization/leadership are think about safety or aware about workplace safety. After screening if found up to the mark we focus on training and education part will explain specific requirements for the site project and ask them to follow in same way will set few bench marking in terms of safety to enroll them in ehs related activities to change their mindset also ensure for rewards and recognition part to appreciate and encourage.

Conduct a thorough review of the organization's existing policy regarding the management of subcontractors who fail to adhere to safety protocols. If such a policy does not exist, develop a comprehensive policy and integrate it into the existing subcontractor management procedures. Ensure the policy is implemented and strictly followed when addressing subcontractors who fail to comply with safety protocols, with the goal of maintaining a safe working environment and mitigating potential risks.

When I noticed a subcontractor safety breach address it right away. Ensure that the unsafe practices are stopped immediately to prevent accidents and injuries. Meet with the subcontractor representative to discuss about the safety violation. Clearly explain the nature of the breach and how it deviates from established protocols. Use this opportunity to reinforce the importance of safety regulations. Recorded the incident and any action taken. If the subcontractor performance doesn’t meet the safety standards, you need to address it formally, which could include penalties or even termination of the contract.

When you discover a subcontractor not following safety protocols, your immediate response should be to halt their work. This sends a clear message that safety is non-negotiable. Approach the situation calmly but firmly, explaining the specific safety breach and its potential risks. It's essential to document the incident, including what protocol was violated and any corrective actions taken. This documentation can be crucial if there are any future disputes or legal complications. Ensuring that the subcontractor understands the gravity of the situation and the necessity of following safety protocols is paramount.

If the breach to the safety protocol is a high risk, work should be stopped immediately. I’d approach training or coaching from the perspective that “they probably are unintentionally breaching this protocol”. So the first step is to check if they had gone through the induction in the first place and if the induction clearly states the safety protocols onsite. If they knowingly breached the safety protocol, then a “non-compliance” process which factors in what will be done if safety protocols are breached also has to be implemented based on the risk (and this process should have been communicated during the induction process).

When an issue is found, ask them to stop, then explain why we have the safety standards and what could happen if they are not followed. It helps to show the standards we must follow, as well as to explain how we are surveyed. A good rule of thumb I try to use is, educate and help, not dictate and demand. If the same issues happen again you take it to the next level, and always keep things civil. Once people know the why behind the what things seem to fall inline much easier in my opinion.

Firstly I will engage the workers to know the reason for noncompliance and if I discover it is as a result of unawareness, I will try and conduct retraining and ensure a questionnaire feedback is issued to the workers, so that I try and understand them better in relation to the training issued to them

I usually make a note of everything wrong that the contractors doing and take some site specific photos. And then I would have a polite and quiet word with the relevant contact manager. And then give them a period of time say 2 to 3 days to change. Hopefully for the better.

Open lines of communication are extremely relevant in this advice, but in my experience many times the business has lacked the ability/sense/oomph to ensure that an effective feedback loop is in place. Ensure that whilst encouraging good reporting a fair a clear system of feedback to those who report is in place. These system needs not be too complicated, but they can be riem consuming so be prepared and plan ahead.
