When external factors threaten your communication team's productivity, the first step is to assess the impact thoroughly. You need to determine how these factors are affecting your team's operations. Is it a matter of reduced budgets, shifting public sentiment, or perhaps a technological hurdle that's slowing you down? By pinpointing the exact challenges, you can devise a strategic response that is both targeted and effective. It's like diagnosing an illness before prescribing medicine; you need to understand the symptoms before you can treat them.

Whether it’s something like divorce or sickness or something happy like an extended vacation, it’s important to make sure your team is prepared to fill the temporary gaps. Don’t wait until the thing happens though. Encourage shadowing and show support through ongoing training. I have found that a deeper appreciation for each team members’ strengths and skill set is cultivated through sharing. Set aside time for learning and a bit of show and tell. Model supportive behavior by participating. Ask questions, shadow, continue to learn. Ongoing interdepartmental training should be a part of your plan if it isn’t already.

Assess the problem or the external factor in discussion with your team.This will help you differentiate between personal issues and challenges that may/may not be addressed openly with everyone so that you do not offend team members. 3.Consistency - motivate the team regardless of what may be happening and show them that maintaining focus on the end goal always produces positive results. 4. Manage- manage how the team moves forward and ensure the team knows they can open up to you directly about any challenges.
