However, how do you ensure that the breakout rooms are effective and engaging for everyone? How do you foster collaboration and networking among the participants who may not know each other well or at all? 1 Set clear objectives and expectations

Before you assign participants to breakout rooms, make sure you have a clear purpose and desired outcome for each session. What do you want the participants to learn, create, or decide? How long will they have? What are the ground rules and norms for the interaction? How will they report back to the main group? Communicate these objectives and expectations clearly and concisely to the participants, and provide any necessary materials or instructions in advance or during the session.

In the virtual world, we don't see the cues of confusion or silence in a breakout group, so we need to give them everything they need before they are sent away to meet. A few things our Blue Rebel Works team does to ensure clarity and effectiveness in breakout rooms are: 1?? Ensure all of the questions for breakout discussions are available to them before they are sent off, whether in the chat in zoom, in their workbook, or by asking them to take a photo of them on the screen. 2?? Encourage groups to connect before jumping into the task at hand - this develops more safety for the discussion. 3?? Zoom's "broadcast to breakout" option is a great opportunity to clarify the outcome of the breakout before bringing people back.

2 Choose the right size and composition

The size and composition of the breakout rooms depend on your objectives, the nature of the task, and the diversity of the participants. Generally, smaller groups of 3 to 5 people are more conducive to active participation, deeper dialogue, and stronger connections. However, larger groups may be more suitable for complex or creative tasks that require more perspectives and inputs. You can also use different criteria to group participants, such as random, homogeneous, heterogeneous, or self-selected, depending on the level of familiarity, diversity, and autonomy you want to foster.

3 Provide support and guidance

As a facilitator, your role is to support and guide the participants in the breakout rooms, without micromanaging or dominating the conversation. You can do this by checking in periodically with each group, offering feedback, answering questions, clarifying instructions, or resolving conflicts. You can also use various tools and techniques to help the participants stay on track, such as timers, agendas, templates, prompts, or polls. Additionally, you can encourage the participants to use chat, audio, video, or screen sharing features to communicate and collaborate effectively within and across the groups.

Two practices we use to support breakout room discussions are to set "ground rules" and to use technology for "soft" check ins. Before sending people to breakout rooms, set ground rules such as "facilitators will pop in", so that they're not surprised when we do. Depending on the type of activity, you may also state that our role is like a "fly on the wall" or to provide some coaching in the moment. Setting expectations helps to remove the shock when the facilitator's video enters the room. Technology like shared documents or whiteboards for breakout rooms can act as a "soft" check in. Facilitators can monitor the discussion without having to interrupt the room. Then we can check in with groups having trouble generating ideas as needed.

4 Encourage interaction and engagement

One of the main benefits of breakout rooms is that they allow participants to interact and engage with each other in a more intimate and informal way than in the main group. However, this does not happen automatically; you need to create a conducive environment and culture for it. You can do this by using icebreakers, warm-ups, or games to break the ice and build rapport among the participants. You can also use open-ended questions, challenges, or scenarios to stimulate discussion, debate, or ideation. Furthermore, you can use recognition, appreciation, or rewards to motivate and acknowledge the contributions of the participants.

A few things we do to create safe and engaging spaces for people to interact are: - Provide a check in generator for breakouts. Two we use are: https://checkin.daresay.io/ and https://whocards.cc/ - Use liberating structures like "1-2-4-all", which gives participants 1 minute individually, 2 minutes in pairs, 4 minutes in 4s, and then time for the full group debrief. Building the size of the group from the safety of 2 to the full group encourages sharing. - Another of our favourite liberating structures is TRIZ, where participants brainstorm actions to create the opposite of the desired outcome. This gets people's creative juices flowing in a safe and fun way. (Check out Liberating Structures - https://www.liberatingstructures.com/ )

5 Debrief and integrate

The final step of breakout rooms is to debrief and integrate the learning and outcomes of each session with the main group. This is an important opportunity to share insights, feedback, or recommendations, as well as to celebrate achievements, successes, or improvements. You can do this by asking each group to present a summary, a key takeaway, or a next action step. You can also use a variety of methods to capture and document the outputs of the breakout rooms, such as notes, flipcharts, slides, or online platforms. Finally, you can use reflection, evaluation, or follow-up activities to reinforce and sustain the learning and networking of the participants.
