Shortcut Keys to Format Data in Excel To make the text bold: Ctrl+B or Ctrl+2. To make the text italic: Ctrl+I or Ctrl+3. To make the text underline: Ctrl+U or Ctrl+4. To make the font size of the text larger: Alt+H, FG. To make the font size of the text smaller: Alt+H, FK. To open the ”Font” dialog box: Alt+H,FN.

2 Align and size data

Another way to format data in Excel is to align and size it according to your preferences. You can use the alignment buttons on the Home tab of the ribbon to adjust the horizontal and vertical alignment of your data, or use the merge and center button to combine multiple cells into one. You can also use the wrap text button to make your data fit within a cell by breaking it into multiple lines. Excel is a tool for presenting data. I have been a recipient of an Excel files that were constructed with information that would have been more appropriately created in a program such as Word. When considering using Excel to share massive amounts of data, preplanning is beneficial. Consider categories of information that could be filtered or manipulated to organized to present information. Having a spreadsheet with a large number of columns that don't hold common data or information, devalues the power of the program and impossible to print of a readable size to offer any value to the end user.

Excel is easily the best program for running reports. It has so many capabilities in terms of formatting, both the raw data and the reports/graphs being generated. A challenge that I find with Excel is that you need to be re-trained in the program after any amount of time not using it. The ribbons, methods of formatting, and options within the program are constantly evolving. This is not bad - it just means someone who has been out of the workplace for a year or more may find the program a bit more difficult to navigate. The beautiful part of being alive in this generation is that helps are easy to find. There are content creators on LinkedIn - and even TikTok - whose posts are specific to the use of Excel.
