A vendor-supplied solution has to be acceptable with minimal customization of the available product variants. This is the only way to get the benefits of scale by both the supplier and by the buyer. The hardest part of this typically is the set of conversations with the end-user of the proposed product that start with: “This is a great solution for us but we’ve always done this, and this, and this, and this, and these other bits slightly differently so we will need just a few customizations…”. If you cant change the way your business works to conform with the detailed standards of the product go buy or build something else.

Consider creating a RACI chart. RACI stands for Responsible, Accountable, Informed, and Consulted. In a RACI chart, you would list on the vertical all vendor activities and interactions. Then, across the chart, you would have job roles. You would insert Responsible, Accountable, Informed, and Consulted in the field that corresponds to the job role and vendor process/action. This method clarifies roles and defines the authority individuals or groups have in the process. People respond more to graphs and pictures than to reading a detailed procedure manual. The RACI chart is a summary of your vendor procedures for easy reference.
