How do you document and report your maintenance and troubleshooting activities?

I rely on paper based requests and then put them in an Excel spread sheet. There are good software products on the market like SAP and Maximo. Their efficiency depends on the size of the undertaking and the amount of maintenance personnel available.

Maintaining reports and documents like equipment history, PM checklists, CM records, MTTR and MTBF is extremely important to understand the current situation and plan the way towards the goal. I prefer paper-less digitalization for data entry to keep the data safe while saving time, energy and resources for data entry and easy to analyze with charts and trends.

I have learned that whatever maintenamce i do,or service or whatever changes on any given equipment to make dymo-label or any kind of info which i put on given machinery with date,running hours,and what main thing was changed/ov.haul.,plus follow up in my maintenance program,and put all in my handover notes.as lots of time come a person for first time on my replacement,and just to.make my coleague life easier and shorten the time to investigate.and after all to be k own who is the last person which touched anything. Sadly manny times i found no information whatsoever so i rather change all if i am not sure especially if its some critical machinery. My motto is: You do it as long is neccessarly,as you do it once,and do it good..

Regular maintenance is usually reported in the designated section of the Planned Mainteance System (PMS). This includes job done, running hour of the said equipment at the time of the maintenance. Spare parts consumed etc. On the other hand, any break down is reported in the Primary or Secondary Break down report. Subsequently maintenance and report of resume operational status is reported on that same report to indicate that the matter of break down has been solved.

I strongly agree with this perspective because it's vital to always get work permit from the Superiors before doing any maintenance work. A work permit contains a checklist that will help one to plan maintenance work well, the tools to be used, the safety precautions you will take during the maintenance process and the engineers that performed the work.

It could be useful to get your coleague thoughts and comments on your report before sharing to public. Compose a prompt and concise report as possible using action verb and technical terms clearly known in your work area.

A simple way to collaboratively do a document review is to use a shared review through Foxit hosted on SharePoint. The comments received on the single document are also peer reviewed. It avoids duplicate remarks on something that is already made. It is a good practice to use the sticky note than writing text that blocks the document content. When the review is completed the comments can be exported to an excel file with reference paragraph section. The Excel CRS comment resolution sheet should be structured to grow vertically for the review responses.

Most of time we are commited to reference our document following a sequence of previous doc from same type. Be aware of this process and save it in the right place/location that helps to be rechecked or reviewed easily.

Structure on SharePoint is a single folder with columns for document number, revision, description and other columns. This folder will also have the CRS Excel file. Ideally the single Excel file can have all comments from all revisions of the document. A filter column for revision can enable this.
