How do you create a communication strategy that meets everyone's needs?

First off, don’t. The purpose of a comms plan isn’t to meet everyone’s needs. Instead, define what you are trying to achieve as a business/non-profits/etc. Then determine which groups of people will affect your success in achieving it. Those stakeholders should be the focus on your plan. Figure out what they need to know/feel/do to meet the goal. The messages, channels, and everything else flow from that.

If you try to please everybody, you'll please nobody. It's a counterintuitive truth, that the more people you try to please with your comms, the more bland it becomes and therefore nobody actually likes it or find it interesting. A small but engaged audience ALWAYS beats a big audience of people ignoring you. So segment and prioritise groups that may need to hear from you most, and audiences who can help you meet your business goals. Don't worry that this means you'll be ignoring all your audiences, you'll simply dedicate more attention to growing your relationship with and targeting the key priority audience segments.

Internal messages are leaked externally, external messages are read by employees, and every company message is challenged by the masses. Be authentic, true, and stand behind your decisions. You can’t please everyone so be honest and transparent about your company, at its core.

There surely are credible messages and then there are trusted and credible messengers. Spend time understanding the difference.

Strategic corporate communications should focus on one primary need: overarching company goals set by executive leadership. Communications strategies should ladder to these goals and measurably support the attainment of company revenue, reputation, etc. One-off requests that do not have clear ties to company goals should be minimized to avoid distraction and burning resources. In my experience, everyone in a company thinks they need communications and marketing and their need is the most critical. It takes strong, consistent and strategic communications leadership to clearly manage, and balance, expectations and needs across a company. Often it includes the ability to say a clear and compassionate No, or "No, but here's what we suggest..."

Swap out SMART goals to make a PACT. PACT goals are purposeful (contribute to long-term purpose), actionable (and controllable), continuous (the ability to take small, simple, repeatable steps to achieve the goal), and trackable (not necessarily the same as measurable).

First you must have a clear understanding of what the organization's goal is. Ideally, you've had some input into shaping that as a communications counselor/business advisor with a seat at the leadership table. Then, you can evaluate whether and how communications can support achieving that goal. From there a strategic communications plan can be developed, with messaging, tactics/execution, timetable, budget, measurement.

My entire approach to communications changed when I learned about the Theory of Change approach. It's not about getting a message to an audience (lawmakers, e.g.), it's about making that audience do something (changing policy, e.g.).

I would just put the 'Define your objectives' first: the ultimate goal being that your communication can contribute to the achievement of the business objectives. As soon as that is clear you can start working on defining who you want to be talking to, how, where and when.

Making sure your communications strategy ties to the organizational strategy is critical. Understanding that is an important first step, and will help support buy-in for your approach.

Clarity and brevity in communications. Avoid using jargon or technical language that your audience may not understand. No matter how technical the subject is, there is a way to make it easier while maintaining the key facts.

Messaging should be always done based on a 'meaning map'. What does the messaging mean to your stakeholder group? If there is no meaning that resonates with the target stakeholders, then the messaging exercise is pointless.

Tailor your messages based on audience research and always test them before using them! I don't understand why this is not standard practice in communication and PR. A (good) marketeer would get fired if he/she didn't test messages before using them in a campaign...

Think about your audience as people, not an anonymous group. What worries them? What excites them? Craft messages that meet them and speak to their needs. Write it all down, then walk away from it. A day later read it again out loud, ideally to someone who fits your audience. Does it sound and feel right? If not, try again until you have something that really works.

In order to craft a clear messaging that resonates with the audience, it is important to bear in mind that a messaging should be able to do two things at the same time: talk to the current audience and engage future audience / clients. A clear message has to be able to highlight achievements and at the same time discussing pain points and how the company's product / service helped to solve that pain point. This will then convince the audience to take action after we have gained their attention, peaked their interest and ignited their desire to have their needs met and their pain points solved.

Are your communications channels, and the content within them, accessible? There are lots of posts on here about making sure your audience isn't "everyone" but you must make sure that you're not excluding anyone because of the format you're using. Are you using plain language that is familiar to your audience? Do your videos have transcripts and subtitles available? Do you have an HTML or text version as a starting point? It's much easier than making a PDF accessible. Are you providing appropriate descriptions for images or graphs with key information? Are you making sure you're not relying only on colour to convey meaning? Is your platform usable without a mouse? Is it available via mobile? Make it as easy as possible to access your info

While choosing your channels, make sure you aren't sticking to one and neglecting the rest, "Integrated marketing communications" is all about adapting the same message differently to accommodate each channel "behavior". nowadays we juggle from a platform to another, spending 5 seconds on one while spending 10 minutes on another, now you want to grab the attention and deliver the same message on both. Grab the attention in 5 seconds and engage with your audience in 10 minutes, end result is grabbing your audience in an optimized but maximized way!

The best advice is to communicate on channels where your target audience is listening or watching. Make sure your message is conducive with the channels of choice of your target audience.

Yes, channel selection is really important right now. So is audience-building, and it's kind of two sides of the same coin. I don't -love- the PESO model because I think on-target, on-message earned media should be turned into paid, and PESO just kind of blows past the idea that channels should be combined. For instance: You can do an exclusive on a piece of organic news, and then pay to boost that exclusive to reporters who follow the same beat but didn't scoop it, and over time you'll raise their awareness that you do exclusives and they should want the next one. That's a good audience-building technique, even though it doesn't scale real well. And it's one that comms can and should own.

Honestly, you can't reach everyone and it's impossible to try. You can use whatever channels and however many you want, but if your audience is disinterested or time poor you won't reach them. You can only plan to reach a small segment of a definited audience and hope that this will be enough. Over time audience engagement has diminished, and we are all bombarded with 'buy this' 'see that' 'take action here' and are becoming immune. It's an interesting issue.

You don't. You can't make a communication plan that will satisfy everyone's needs (and even trying that will just prove you take communication as an operational role rather than a strategic one). What you can do is sit with decision makers and identify priority topics for a certain period of time where communication serves as a solution to gaps and goals. Not all company topics at once ????

Assuming your plan will unfold without alterations is a recipe for failure. The key lies in understanding the inevitability of change and being prepared to adapt. Successful communicators must be flexible and resilient. The essence of overcoming challenges in executing a communication plan lies in staying true to your purpose while being adaptive in your methods. Just as a skilled navigator adjusts their course in response to obstacles, successful communicators navigate uncertainties, always mindful of their mission. Remember, a flexible approach rooted in your communication objectives will guide you through the ever-changing terrains of the communication landscape, ensuring your message resonates despite the challenges you face.

Accountability is key in the implementation of a strategy. Who is responsible and accountable for step two of sixteen? Does step two of sixteen make sense or should it be step seven of sixteen? In keeping with that point, are you overly relying on cumbersome staffing procedures which will keep the strategy from moving forward? If the only person who can approve a message is ten steps above the communicator, and everyone between you and them has to initial off, the strategy is dead in the water.

Do it, succeed do it again. If you fail, pivot and pivot fast, don't be in love with your plan. Flexibility is a must. Keep goal posts and review mechanisms to keep things in check. Feedback from all stakeholders is an absolute must. It is the only way we know where we are. Measurable metrics should be studied from time to time to see areas of improvement. Study peers and other industries. Sometimes, inspiration comes in mysterious ways.

Here, I'll point out what's obvious to folks on the agency side: To do it right, this back-of-the-house activity requires budget, and clients don't tend to want to invest in it because it doesn't produce outcomes they can point to. There is both a hesitancy on the client side to spend money on eval/audit and a refusal among agencies to change processes. This is frustrating because there are easy ways to hint at whether or not comms activity is really working, and you can implement them through process change that requires minimal investment.

It is impossible to be all things to everybody. Therefore a good and clear communications strategy will need a clearly defined audience to achieve results. Companies reluctantly invest in communications strategies because the ROI is not immediately visible. Communication takes time to gain momentum and credibility. Know who you want to reach, why you want to reach them, and then establish how and where. This could mean more than one strategy.

Review and improve goes right back to my response #2. What does "success" look like? It must be defined. But it can't be so limiting there isn't room for tweaking. Much like viral cat videos, there's no such thing as a "guaranteed" successful strategy. The communication staff can't be so worried about missing the mark on their first go-around they're paralyzed by fear. Of course the intent is to get it right the first time, but with honest review of the data and tweaking as necessary, the communication staff can get there. So what's the best chance at getting it right fastest?Answer these: What do you want to say? Who do you want to say it to? And what do you want people to do with the information you provided.

Evaluation is key to adjust the strategy and also anticipate any unforseen risks. The sources to gather the data should be clearly identified as so the owners of this data.

You can't. If you try to meet everyone's needs with your strategy, its not a strategy, it's a series of activities that assuage discrete stakeholders. Instead, focus on clearly defining your current environment with all its flaws/opportunities, then define your desired future environment. This is your crystal ball moment. Peak into the gap between these two and decide the best approach that transforms your reality to your possibility. Do this in a way that resonates with each key audience (after explicating each demographically and psychographically). Provide a path towards a future everyone agrees on, as opposed to delivering a series of tactics that temporarily appease one audience, often at the expense of another=happy majority

From the very start, it's useful to assess how communications are currently working. A communications audit can offer insights into which approaches to continue, amend or stop doing. In the audit, assess the effectiveness of communications in contributing to organisational goals. The audit findings can be a useful part of introducing comms strategy development to colleagues, sparking useful discussions.

Create personas to tailor your messaging effectively. 3. Craft clear, concise, and consistent messages that resonating with various audience segments. 3. Match communication channels to audience group. 4. Develop content that is relevant and engaging. 5. Determine when and how often you will communicate with each group. 6. Continuously monitor the effectiveness of the strategy and adjust as needed 7. Ensure all teams within organization are aligned. Remember that one-size-fits-all communication rarely works. A tailored approach and being open to feedback will go a long way.

Reality: You can’t. We live in a highly segmented and geopolitically fractured world with lots of constituencies having different perspectives, beliefs, points of view, framing, objectives and motivations. That’s ok. The important thing is for organizations to work backwards from the following foundational questions: Who We Are What We Do Who We Do It For Why It Matters It’s also crucial to understand that every executive action, email, sales claim, payment strategy, HR hiring or layoff decision could become news instantly. Transparency and authenticity always. Following the Golden Rule but also understand that you can’t be all things to all constituents.

It's important to foster internal initiatives to accelerate and boost AI. One of the initiatives shared was an "AI Sprint" developed by Google. During 100 days, 10 people inside the company that applied for this challenge, worked as an "agile team" testing products and building foundations at speed. A good lesson that can be applied in several companies. Building the future requires this attitude of fostering test and learn.
