I agreed that before writing your findings, it's necessary to know who's your audience. Working with end users it will be easier to create a visual document with screen shots which will be easier to understand and learn. On the other hand if your document it's for technical people, the findings will need more evidence and data to prove the findings and the suggested approached for the change or solution.

Knowing your audience, the way they think and process information and the time they have to consider your presentation also provides another challenge on how best to present. In my experience, for board meetings where multiple items are discussed I have often prepared a high level overview to be circulated with the meeting papers and a detailed analysis held for those requiring more. Trust of the audience in you is also important, and as the relationship develops I generally find that the detail isn’t called upon as often.

I agree that in presenting business analysis findings, one must use appropriate documents and follow the guidelines of the organisation in which they work. As a new BA in one company I once worked for, I used an outdated format to present the Epic list to senior management & stakeholders. Your guess is as good as mine that I was sent back to redo it. This is why I encourage new business analysts to ask questions, find out from other colleagues what the most recent guidelines for presenting each deliverable are.

First: be simple! Whether it's diagrams, tables, texts, use simple, intuitive, easy to understand shapes, symbols and languages. Junior BAs try to sound smart, more senior BAs try to sound simple. Second: be short and concise Always re-read your documentation several times and make sure you remove anything redundant and correct/make clear anything ambiguous. Third: be consistent, yet creative. Your documentation is your style. Like an artist, you want to be consistent enough so that when people see the document, they know it's you. But you also want to be creative enough to engage them and show your revolution.

When working in a professional environment, appropriate format and language are a must! While the format may differ from channel to channel or tool used text formatting, key elements, document layout, and crisp and clear presentation are what is applicable everywhere. It increases readability, gives clarity of thought and most importantly credibility for the work one does. A few errors or mistakes might still work within teams internally but for external stakeholders or collaborations, a sanity check is always preferred.

In the hustle and bustle of startups and meetings, there are various calls that we attend. Meeting various people in a day and getting weekly or monthly business insights is a recurring activity. To keep track of all the things happening simultaneously, the best practice is to document all the things in a detailed manner. I love working on excel and sheets as it helps me draw insights and do analysis faster. All the meeting notes can be jotted down in Google Docs or Notion or a note-making tool to keep it as simple as it can be. This helps me to go through them anytime need be and understand the context, rationale and steps taken around it.

Context and rationale are very important as they explain WHY the audience should read your documentation. These content should always be on the first page of the document itself.

Respect data, sources, clients, stakeholders, and coworkers while adhering to ethical and legal norms. To prevent unwanted access, use suitable labels, disclaimers, or encryption. Before spreading the information of others, obtain permission and acknowledgement. Maintaining these principles ensures responsible data processing and conforms to professional and organizational standards, creating trust and honesty.

A Business Analyst must safeguard confidential and sensitive information. Here's how to manage this in findings documentation in an ex: Stakeholders: Present crucial findings, omitting confidential or sensitive details. I always ask my colleagues to review any analysis or documentation before it is released for general use. Everyone is human and can make mistakes. But I also like to have them check for clarity, especially if this is the first time my colleagues have seen this content.

To be honest, for me documentation used to be the least exciting part of being a BA. I used to walk out of workshops/meetings/interviews/discussions with tons of artifacts, notes, drawings, recordings that I need to spend days to consolidate and document into my final products. I no longer do that now. I consider documentation a "requirement building" process. I have a general template with structure I would agree briefly with my team first hand. I'd populate all findings I've got from the references that I have into that template to have the first draft, and bring it to any workshops/meetings/discussions to continuously update, refine and validate it with the team, while sharing my screen. This makes it much more fun and effective.

Process transparency! Your methodology from the beginning sequence of steps through relationship building and all the way to the finish line. If your process is transparent and people understand what to expect, your work speaks clearly for you and keeps you on track.
