How do you become a staffing specialist?

A staffing specialist, in my opinion is the one that deeply understands the business requirement (not just the position, but the need behind it) and the talent market. And a successful Staffing Specialist, is the one that uses the ability of active listening, negotiation, persuasion and empathy to find the right match. Building longterm relationship with stakeholders and candidates is the KEY.

In my experience, staffing specialist is responsible for finding and attracting right fit candidates for the client requirements. They use various sources and methods, like job boards, social media, networking, and cold calling, to identify the right fit. Strong communication, negotiation, time management skills, and a good listener are crucial for staffing specialists. They also maintain relationships with both the client and the employees and provide ongoing support and feedback.

A Staffing Specialist excels in active listening, discerning the deeper reasons behind a manager's staffing request. Beyond surface-level positions, they probe for essential soft skills, team dynamics, and candidate backgrounds. This comprehensive approach ensures a tailored match, addressing not only immediate needs but contributing to long-term team success. Through strategic questioning, the Staffing Specialist aligns the right talent with the manager's organizational goals.

Becoming a staffing specialist typically involves a combination of education, relevant work experience, and specific skills. Strong communication skills are crucial, as staffing specialists often interact with both employers and job seekers. Attention to detail is important for managing documentation and ensuring compliance with regulations. Negotiation skills are valuable for salary discussions and contract negotiations. Familiarity with applicant tracking systems (ATS) and other HR software can be beneficial.

Many might think a staffing specialist simply posts jobs and decides who will go forward with an interview process. In reality, a staffing specialist must have a keen understanding of negotiation, market conditions, benefits packages, industry best practices, ability to communicate with various stakeholders, company culture, ability to coordinate challenging conversations, and much more.

I started working at a staffing firm and when I got enough experience I moved over to in-house recruiting for an aerospace company. Being able to talk to anyone, strong negotiation skills, time management, hard worker and the ability to ask hard questions in a positive manner are the keys. If you can do that most agencies will teach you the technical piece.

In my opinion the best staffing specialist have strong soft skills, an ability to get things done (without direction) and an uncanny ability to communicate with anyone. Certificates and degrees are not nearly as important as grit, determination and a yearning to be great in your role.

You need to be a people person first. It also helps to be very organized and structured but be able to shift gears at any time because you never know what will happen on a given day.

As a staffing specialist you need to have great organizational skills as well as time management skills. You also need to have amazing communication skills and the ability to actively listen to your clients/candidates to uncover what they are truly looking for.

As per my perception, to become a staffing specialist one should have good interpersonal skill. Having immense knowledge of client communication and presentation skill will enhance the process.

There are many ways to get into staffing, but I think the easiest ones are to start with an HR internship or join a high volume staffing agency.

In my experience there are many angles that you can take to become a staffing specialist. The two main categories to look at are internal and external roles. Internal means being a recruiter within a specific company. External means working for an agency that supports multiple companies grow their teams. Both have similar intentions of filling roles, but can be quite different as well. Internal roles typically have more exposure to processes and systems. External roles have more focus on speed of delivery and consulting. Both avenues are beneficial and can compliment each other well.

There are 2 types of staffing or recruiting specialists - internal and external. Both are similar yet they have their differences. In my experience, the easiest way to get into external staffing is by talking directly to external recruiters. Most recruiters are happy to have a candid conversation and they will be able to answer any questions you have about the industry and career. Most recruiters "fall" into staffing by meeting a recruiter in our field and are offered a job. If you come from a certain industry, for example if you are an Accountant, then you should speak to an accounting recruiter. Internal recruiting is very different. Internships are a great start, networking, applying online, and even working with an external recruiter.

You can move to staffing from different entry/mid positions like project coordinator or PMO. Think of transferable skills and experience you already have. If you are a graduate/student think of internships.

Hence a Staffing Specialist must possess a quality of being patient and perform smart work to be ahead of the game. Understanding the client needs better and carefully reading will be as an head start for better sourcing of the right candidates.
