How do you back up your parent-teacher communication with data?

Effective parent-teacher communication is a cornerstone of a child's education. It fosters collaboration between educators and parents, ultimately benefiting the student. However, in today's data-driven world, it's not enough to rely solely on anecdotal conversations and impressions. To truly support student growth and development, it's essential to back up parent-teacher communication with data.

Developing a routine of data collection bolsters your stance and opinions on the progress of the student. Why did the student not do as well on the most recent test? The student had X# of absences, did not attend any of the 7 extra help opportunities that were made available, and did not complete quality homework assignments (provide the grades). What this also does for you, the parent, the guidance counselor is allows the parent to also see just how much support is available to the student that perhaps the parent was not aware of. Enter the conversation at home with the child, or a schedule to get the student to attend extra help with frequency, do homework, etc.

You should never share "Questionable or open ended" data. Meaning this: If you have information that can be open ended, such as (How someone studies for example) This could be open for disagreements based on perspective. This kind info varies and shouldn't be place in a finite category. What you should share, to come on the same page is data regarding grades and why they got to this grade instead. This kind of info is concrete. Don't include (in this discussion) about study habits and how they answered, but rather how they answered the questions on what they got wrong and how it can be fixed. Seems random, but you'll be surprised how often these issues in particular come up in PTCs

The number of opportunities that extra help was made available (and how and when that information was shared). The number of times the student took advantage of extra help - how long they stayed and what they worked on (a student who attends, but only stays '10 minutes' is not really getting the benefit of that opportunity) The number of days tardy to class / missing instruction that accumulates The number of days the student missed class - whether ill or cutting - missed instruction is missed instruction. The alternate programs available in your school or district for students who may need more help to succeed (usually shared with parents during a meeting).

It happened with me. I couldn't believe if my child could be misbehaving in class till i saw a video captured of class where the teacher was not in the class. What amazed me was the teacher spent time to watch each video while he was absent! Yes, mostly parents find it difficult to believe unless there is data to back. And nothing is a bigger proof than a recording. I was also grateful for the teacher to handle this sensitive data in the correct way and showing it privately. The teacher handled it so well that though we had initial differences, we still remember him even now!

While data is crucial for effective parent-teacher communication, it's equally important to have a well-rounded communication plan. Consider the following aspects: 1. Frequency and Consistency: Establish a regular schedule for communication, such as weekly or bi-monthly updates. 2. Keeping a physical gradebook in which you can create and maintain charts with symbols and shorthand can go a long way in keeping up with data collection. Just because you collect the data doesn't mean you'll use it. Sometimes having a calm conversation (positive spin) with the student or student/parent/counselor and having the data prepared is more helpful than spearheading a conversation with the data in the forefront.
