How do successful entrepreneurs prioritize their most important tasks?

One thing I’ve found helpful is to change the way I ask the question. Instead of asking myself what are my priorities today and making a To Do List each Morning, I ask myself what can I do today that is going to have the biggest impact on my results. It changes your list! I also categorize my actions. Each Morning I establish an action that I’m going to take that moves me forward with my overall Company Vision. Then I establish an action or two that I’m going to take that are operational necessities for the day. And lastly I establish an action that I’m going to take that invests in myself, as well as, one that invests in someone else. That can be something as simple as calling someone to let them know I’m thinking about them.

I systematically list tasks, prioritize them, and delegate efficiently, matching tasks with my team's skills. I handle tasks I can complete swiftly, saving time for strategic work. All actions align with overarching goals, ensuring productivity and success.

For tasks that are both simple and quick to complete, consider adopting the Two-Minute Rule. If a task can be done in two minutes or less, tackle it immediately instead of postponing it.

Another valuable strategy is the Ivy Lee Method, a simple yet effective approach. At the end of each day, jot down the six most important tasks you need to complete the following day. Rank them in order of importance. The next day, concentrate on the first task until it's finished, then proceed to the next in the list.

I primarily use the Eisenhower matrix, a prioritization framework, to manage my hectic schedule as an entrepreneur. Each day, I'm engaged in tasks such as client communication, delegating tasks to employees, reviewing their work and provide training, and focusing on enhancing both online and offline traffic. This structured approach enables me to navigate my tight schedule efficiently.

I usually use the "Eisenhower Matrix" method. It categorizes tasks into four quadrants: 1. Urgent and Important (Do First):Tasks that are both urgent and important should be your top priority. 2. Through this you can quickly assess and prioritize tasks based on their urgency and importance.

You're a busy person, right? So, why do you use a useless list to manage your time? The to-do list is already dead. You can't prioritize it, order it, or visualize it. So what can you do to turn your written mess into a productive masterpiece? Make your calendar your to-do list. Here's why it works: ? Time is your only real asset. Use it wisely. ?? Calendar events are tangible. To-do lists aren't. ?? Your calendar is your home for success. Try it out today. Use your calendar with two things in mind: 1. Schedule blocks instead of tasks. 2. Keep it real. Don't overschedule and stress yourself out. Spend your time working instead of planning and watch your productivity skyrocket.

MoSCoW method is the categorizing of tasks into Must-haves, Should-haves, Could-haves, and Won't-haves, this method provides a crystal-clear roadmap. By defining non-negotiables and distinguishing them from desirable but non-essential tasks, entrepreneurs ensure that their focus remains steadfast on the pivotal elements of their objectives.

The Pareto Principle, or the 80/20 Rule, is a powerful tool for task prioritization. It suggests that 80% of your results come from 20% of your efforts. Identify the tasks in the 20% category that have the most significant impact on your objectives and focus on them. Delegate, automate, or eliminate the less critical 80% of tasks to make room for strategic work.

I fully endorse the approach of delegating, automating, and eliminating tasks as needed. Task delegation is based on evaluating employee performance. I leverage automation tools to enhance my company's growth and operational efficiency. Tasks of lower priority are promptly eliminated, streamlining my focus on crucial aspects of my work and contributing significantly to the company's success.

I use the RADE framework when evaluating a task: Remove: can this task simply be removed? Then get rid of it. If not… Automate: can we automate this task so it gets completed on its own in the future? Automate it. If not… Delegate: can someone else do this 80% as well as I can? Delegate it. If not… Execute: otherwise, execute the task with the priority and energy it deserves.

Delegation of the tasks is of paramount importance when your team grows beyond a certain point. An entrepreneur failing to delegate responsibilities effectively can surely hamper a company's growth. But it's not easy to delegate tasks/responsibilities. One has to trust their subordinates fully and take a leap of faith. Most of the time, it will work out fine or better than expected resulting in increasing the confidence of the entrepreneur to delegate more tasks.

Utilize Task Dependency Analysis to pinpoint tasks for delegation, automation, or elimination. Identify prerequisites, streamlining resource allocation decisions.

Scheduling acts as a bridge between current progress and desired goals, indicating achievements and pending tasks. Tracking progress is essential for goal attainment, emphasizing the need for vigilance regarding deadlines. Without effective progress monitoring, achieving desired outcomes becomes challenging.

Having tried a number task management systems, my go-to approach is to track high level goals or themes (e.g. monthly or quarterly goals) in a tool like Notion or ClickUp while managing day-to-day items using pen and paper or a simple notes app. It's important to not get bogged down into developing complex project management systems that will be hard to maintain and follow for you and your team.

While seeking the latest in productivity tools and methods can be appealing, successful entrepreneurs often rely on simple, tried-and-true practices. Using a well-organized calendar, a planner, or a reliable to-do list app for scheduling tasks, setting deadlines, and reminding yourself of upcoming milestones falls right into this category. It’s this adherence to the fundamental, sometimes mundane, aspects of task management that enables sustained focus, motivation, and the ability to remain accountable and adjust priorities when necessary. In essence, don't underestimate the power of sticking to the basics; they often yield the most consistent and reliable results.

Make sure that you plan in more time than you think you might need so that you can complete things in one go. Having to constantly switch mentally between tasks and go back to something is exhausting, so better to spend more time on it now and be done with it once and for all. Define in-between goals for bigger projects. Don't be too vague when scheduling time for a certain task - define what outcome you are expecting to have at the end of the time slot. Keep track of your roadblocks and make sure to find solutions rather than procrastinating things you don't have the answer for right now. Identify clear next steps to continue moving forward.

If it's not on my calendar, it's not getting done. I have to schedule time to do things. If I can't do it in the time allotted, it's easy to reschedule to another open time available. The key is not forgetting once things fall below the fold.

When I talk to my team about their work, I always remind them to think smart and work efficiently. If they're struggling in certain areas, I guide and support them. Motivation is important too, and I make sure to look at all aspects of their performance. When I assess my own work, if things don't go as planned, I find a different way to handle the situation and address any problems.

There are a lot of great answers here along with useful tools. But after being a founder a few times myself, I can tell you that all these frameworks are nice once you’ve figured out what to do. Most of the time a founder doesn’t because “everything is important” when you’re in the trenches. So what do you do? build an advisory board of people who have done it and can guide you. Once they help you figure out what the priorities should be for maximum affect, use any framework written here for managing, accountability and so on

Reflection and introspection are byproducts of evaluation. Take time periodically to review your progress and mentally backtrack on tasks you have carried out and that decisions you have made. The goal of this exercise is not to induce self-doubt but to see if there were blind spots in your decisions--if there were things you could have done better and how you could have done them better.

If you are just getting started in planning & reflecting, I really like planners like the Best Self Planners. Each day in the journal has space to plan the day ahead and write what you are grateful for. It also builds it into a larger, weekly and quarterly reflection.

After putting all the efforts, as an entrepreneur, you shouldn't fail to review the task, and reflect on the action. Few task might be small, that needs only a day work. Few might be having a timeline of 10 days or fortnight. Few tasks may need than a month to accomplish. What we do at 7 Eagles is, We use tools like Jira, Clickup, Slack, etc to manage the task, and the project timelines with various milestones. As a founder of the company, I won't plan the task, I delegate that accountability to my leaders. But, I will be having an eye on them, what is happening by regular weekly meeting to review or updation task management tools like clickup, and Google sheet. I just look in to the sheets to find where my intervention is required.

In today's digital landscape, prioritizing tasks based on their immediate impact is crucial. While traditional methodologies for task prioritization are valuable, the digital era demands a smarter approach. Personally, I believe in automating tasks that require intervention. By doing so, we streamline our workflow, allowing us to focus on tasks that truly matter and can drive quick results. This strategic allocation of resources ensures efficiency and enhances our ability to meet objectives effectively in the fast-paced digital world.

After you have prioritized your tasks, the next step is to eliminate distractions. In my experience, using strategies like block time are helpful. To leverage this strategy, set aside blocked time on your calendar. I have found minimum of 2 hours, but usually I use 4 hours. During this time I limit all distractions, such as shutting down email, putting my phone in airplane mode, no social media, and I let others know that I will be unavailable during this time. This practice allows me focused and uninterrupted work which boosts my productivity and creativity. I also set a goal on what I need to get accomplished; so essentially I have a plan going into my block time.

One thing I've found helpful is playing around with tools that enhance productivity - but at the end of the day it's up to you and you can make lists all day and all week and not getting anything done. Being dynamic and flexible and not beat yourself up if something gets put back is another trait I've seen from others.

As entrepreneurial leaders, we understand that our state of mind, rather than our to-do list, determines our effectiveness. Clarity and insight naturally emerge from a quiet mind. We don't force prioritisation; instead, we allow space for priorities to become clear. We trust our innate wisdom to guide us. It's not about juggling tasks or managing time, but understanding that when our minds are clear, we intuitively know what needs our attention. Success comes not from doing more, but from the understanding that allows us to do what matters most with calm, clarity, and focus.

I've found that tuning into my own rhythm is key to getting things done efficiently. For me, the mornings are when I hit my stride; that’s when my focus is sharpest and my energy is at its peak. So, I time-box my most critical tasks for these early hours. It's like catching the wave at just the right moment—everything flows. I also try to bucket my work into the 'Action Priority Matrix' (Give it a google for a quick example) This reflection helps me prioritize effectively and ensures that I'm always moving the needle where it counts the most. It's about being intentional with my time, every day.
