One of the things I require from my vendors is that they are comfortable with have some of my team watch and ask questions while a repair is being done, If it is something they have not seen before. Not necessarily to take work away from vendors but to educate my team as to be better equip to make a vendor or non vendor call and if a vendor call they can articulate the problem with much more accuracy so the vendor has a better understanding of the problem and can send their best tech and parts which cuts down on labor costs and save us money.

Along with that something overlooked with this is a clean organized shop: I see more time wasted looking for parts or specialty tools. It also saves time as there are NO old broken parts on shelves saving time with not redoing a job twice because you put in a bad part that another tech put on the shelf out of laziness. Having a parts to order board and a par level for your parts also ensures you are not waiting on commonly used parts.

Equipping them with what you think they need is very different to listening to them and them telling you what they need. Pick a member of the team and promote them to senior tech/engineer and make it part of his duties to keep an inventory, clearly this needs to be reflected in their pay/benefits. This enables all maintenance issues to be handled by people who know what they’re doing and free management up to focus on other issues such as staffing etc etc.

In my experience expectations are great as long as they are kept realistic. They also need to be somewhat flexible in that just because a particular task took an hour last time or even 20 times previously it does not mean it will always go that way, 1 snapped bolt or a missing thread insert can ruin everything! Also when things do go wrong it’s not always down to negligence, understanding this helps massively in retention of staff.

I find that helping each other learn helps build a team atmosphere. Not anyone person knows everything so to be able to share your knowledge on how to do something or how to save time doing g something with the end result being a request that is done right the first time saves time and money on the bottom line. It also builds up the person doing the teaching as it boasts their feeling of contributing to the success of your team. Of course you have to trust your person to be teaching the others properly.
