Protecting your customers and your own data is very easy. Simply adopt, implement the PCI DSS and have that implementation validated by a qualified security assessor. And for all of you who read this and go yes but… there you go you just made it easier for the criminals. Far too many data breaches result from poor security. Remembering that security consists of three key factors People, Process and Technology. Not focussing on all three provides the opportunity for criminals.

Getting a clear understanding of our data is the crucial first step in ensuring its protection. Once we know exactly what kind of information we're dealing with, it becomes much easier to put in place the necessary safeguards.

Working in higher ed, we wanted our students to know more about data classification. For NCSAM, we setup a table by the student center and advertised "Slices with Security" where we handed out free pizza to the first 200 students who came by. They had to "spin the wheel" and tell us more about the type of data they landed on. They had to give an example of one of our three data types (public, sensitive, restricted/PHI). We also had a cheat sheet to help them out. One additional space they could land on was a phish where they had to tell us what a phish is and how to report it. We even had our mascot (Blaze the Dragon) come by and it seemed to be a big success. At least a few people are more educated about how to protect our data!

By using password management systems, you can increase security and manage access. 4. Implement a reliable data management approach, and keep data in one place.??

Educating your customers or your employees are two different things. So, you should inform your customers and create awareness, but you have to educate your employees in how they need to handle data, data privacy, what is acceptable and not and how to protect data.

We need to educate employees and business liaisons about the sensitivity of this issue, seek their input, and simultaneously educate them about customer data.

Educate your customers on data privacy practices and offer transparency about how you handle their data. Provide options for managing their data preferences, such as unsubscribing from marketing emails, deleting accounts, or requesting copies of their data. Offer guidance on avoiding online threats like phishing and malware.

Trusting providers is not necessarily a practice that is needed for your security, but if you need to partner up (payment processor for example), then you have to choose wisely and review them.

You are usually not able to gain full visibility of the internals of a provider. But you can ask for a 3rd party independent audit report like SSAE 18 SOC 2 Type II. Depending on your workloads, you can also ask if the provider is compliant with HIPAA, PCIDSS, GDPR, SOX, FedRAMP, and much more. Your provide BCP and DRP policies are also important.

Knowing the data held by third-party vendors is critical for security. Understanding the importance of this data helps in assessing the potential risk and impact of breaches. By identifying the criticality of data, organisations can set security expectations for vendors. This clarity ensures vendors implement appropriate controls, proportional to the data's sensitivity. If vendors possess high-value data, rigorous security measures become non-negotiable. Conversely, over-imposing controls for less-sensitive data may be cost inefficient. Understanding the data landscape allows for tailored, effective, and efficient security control arrangement with vendors, safeguarding key organisational assets.

As organisations change, changes can inadvertently introduce vulnerabilities. These assessments proactively identify and assess potential security risks stemming from these alterations. By conducting these assessments during transitions, organisations ensure that new or modified processes remain secure and resilient. This not only helps in designing targeted security controls but also ensures that adaptations don't compromise data integrity. Also, DPIAs demonstrate a commitment to privacy regulations amidst change, fostering regulatory trust.

Continuously stay informed about the latest trends and threats in data security. Subscribe to relevant news sources, participate in online communities, and attend events to learn from experts and peers. Conduct regular risk assessments and reviews of your data security practices, making improvements as necessary.

There are companies which offer services that can monitor the dark or deep web for your leaked data. There are also companies which can monitor the internet (and not only your infrastructure) for your leaked data. This can help discover data leaks through 3rd or 4th parties. Remember your data backups should have the same level of protections as the live data. Data minimization is a solution which may help in controlling your data size. Data you have but you do not need can put you in trouble. An instance of this can happen with legal hold, or with policies like GDPR. Data retention policies can also help you manage your data.

Along with understanding of data and implementing the data security policies & tools, we need to also understand the geographic restrictions, local government laws like GDPR is for EU before formulating any data privacy policy or governance model specially organization with global presence.
