Have a checklist for the following: - Required hardware - Required staff - Required furniture - Electricity & internet - Room plan - Decorations Based on these you can create a task and item list. Make sure to have spares available, for example extra monitors or cables, in case something breaks during the event and needs to be replaced.

Event organisers don't plan for if something happens, we plan for when something happens. Sure plan ahead and test, test, test. BUT more importantly is protocol and backups. When the venue power goes down, the UPS will keep the screens running until the generators kick in. You need a backup plan always...

On-the-job training: Pairing new employees with experienced mentors or having them shadow colleagues can be a great way to learn the ropes. Formal training programs: You can run your own training sessions or outsource to external trainers.

Use the overview of tasks and requirements to create a training manual. If possible, have the employee get hands on experience for the task and hardware, so they know what they are working with. Also communicate the line of command clearly, so they know who to ask during the event.

Depending on budgets, hire additional technical teams to the project, learn from them and have them close by. Also, test methods with staff and train them, but sometimes hiring some more experts to have them on site really helps

Check your project overview, milestones, etc. Set realistic deadlines for each task and item, so you have everything available for the event. For example printed material may need to be ordered 2-3 weeks before the event to arrive in time. For software patches, it's best to start all hardware one day before the event, so games and operation systems are patched to the most recent version.

Monitor the devices and have back up plans on stand by, but try and limit comms to issues during the event. You don't want to flood the radio comms with unnecessary updates like power is fine, server is fine, this will only make staff complacent to radio comms.

Communication is key. Making sure participants are well-informed and equipped helps set the stage for a smoother event. It's like giving everyone a GPS for the tech terrain they're about to navigate.

Use social media, the event website and chat channel to inform attendees in advance. Also make sure to have the information available at the event itself, as not everyone will see it, even if you put it up on every channel available. Make sure to mention in case attendees need to bring something themselves or if any item is forbidden to be brought to the venue. For example drinks+food not being allowed.

Exactly and the information needs to be repeated everywhere. Signage, show guides, website and social media should all have the information as different people will look to different sources for information

Engaging the audience is the secret sauce! A captivating presentation, interactive features, and reliable streaming can turn spectators into fans. It's like creating a digital carnival where everyone gets a front-row seat.

El evento ha de comenzar meses antes con una planificación de la comunicación de las actividades propuestas. Campa?a en redes sociales, creando expectación y anunciando los contenidos. Una vez se acerque la fecha, informar con la mayor exactitud posible de los horarios y sus canales de distribución. Apoyarse en altavoces, ya sean otros medios de esports o a través de las figuras de influencers/streamers, así como los propios participantes. Los streamings han de ser de la mayor calidad técnica posible y respetar los horarios, informando lo antes posible en caso de que hubiese cambios en la programación.

Collect issues that occured during the event. Have a follow-up meeting with the team, discussing what worked well and what didn't. Update your documents to reflect the feedback you collected. Reach out to attendees to get feedback directly from them.

Llevar una contabilidad y/o memoria de los procesos, ayuda a una posterior evaluación para ver cuales fueron los aciertos a repetir, aspectos mejorables y errores a evitar. De las redes sociales se puede sacar un buen feedback, aunque hay que saber aislar comentarios fuera de lugar o que carezcan de validez/rigor. También se puede emitir de forma activa un cuestionario a los asistentes, haciendo las preguntas claves de interés y así tener más información acerca de aspectos generales o específicos del evento.

Hacer una inspección técnica de las instalaciones previamente. Ver si se cumplen los mínimos necesarios para llevar a cabo el evento en cuestión. Pruebas de energía, luz, sonido y sobre todo la conexión a internet del recinto o lugar, que tenga la capacidad y velocidad de conexión necesaria a las características del evento. Primar siempre la conexión por cable, dejando la conexión wifi solo cuando sea la única opción y tenerlo en cuenta. También debemos tener en cuenta el aforo disponible con la asistencia esperada, tanto para que el espacio no sea excesivamente peque?o, así como que el espacio no sea muy grande y dar la sensación de vacío, en este caso reducir las dimensiones de alguna forma o con lonas, etc.
