How can you overcome communication barriers with a diverse audience?

In my experience, knowing your audience is the most vital tool you need to engage any crowd. You need to know enough to be able to keep them interested and not offend their sensibilities as well. One message cannot fit every engagement. Knowing who is listening is a vital tool to tailor your message for relevance and reach.

Know your audience is essential for establishing a strong connection with your team members. It involves recognizing their strengths and interests. Tailoring your communication to suit your audience is equally important, as the same information may need to be conveyed differently. Timing is also crucial, as delivering information at the right moment ensures it is valuable rather than a waste of time.

Listening also means asking constructive, open questions, then listening actively and attentively and grasping what is being said and how. Key in listening is: to avoid, indeed to exclude, any categorical evaluation on a scale from good to bad. Listening means putting yourself in the other person's shoes and empathically understanding where the other person stands and how he or she is doing. Without judging. This way of thinking must be trained and practiced. Because the human mind works with schemas to reduce the complexity of the world around us, evaluating and ignoring many things. Therefore, it helps to practice active listening in order to get rid of learned classification routines and to be able to experience new perspectives.

Emotional Intelligence in Digital Communication The article focuses on verbal and non-verbal cues but doesn't delve into digital communication. Emotional intelligence is crucial here. Being aware of the tone in emails, the use of emojis, or even the timing of messages can convey subtext that transcends language and culture.

Along with employing straightforward language, incorporate relatable examples or cases that resonate with your audience. Initiate your communication by establishing common ground with your audience, beginning from a point of shared knowledge on the topic or subject, it will foster their active involvement in the topic

Clear and simple language is the foundation of effective communication. It makes all types of conversations & presentations persuasive and accessible to all audiences. Being a good communicator is being able to explain complicated issues and situations - simply and clearly. When acronyms (of organizations for example) have to be mentioned, they can feature on a slide, in a post, in an email etc. so the audience (and the presenter) can refer to it. It is the presenter's responsibility to make sure the audience understands, follows, learns, and leaves motivated with a clear call to action. Presentations are not monologues, they are conversations even if the audience doesn't ask questions:)

Clear and simple language does not mean treating an adult as a child but remembering how one felt once upon a time when we were not the subject expert we are today. Avoid slang. Be ready to provide examples that can better illustrate the point.

More than clear and simple language, be concise. Make your points straight away and be ready to give context. Summaries are your friend here, as much as you want an embellished and corporate piece of communication, nothing is more professional and comprehensive than being direct.

Watch Context Over Content! In some cultures, the context in which something is said is as important as what is said. This is often overlooked in Western communication, which tends to be more direct. Being aware of this can help in crafting messages that are not just clear but also culturally sensitive.

When engaging in a conversation, it's important to approach the speaker's words with respect and without preconceived judgments. Every communication should be honored with due consideration.

Remember that listening and understanding are two different things. Even if we listen carefully we might not be able to understand the speaker. We always need to remember that we interpret while we listen based on our experiences, biases and expectations. The most important rule for listening might therefore be checking back: repeating in our own words what we hear and ask ?did I get this right?“. Misinterpretation might be the biggest challenge to successful conversations.

It is crucial that you can adapt to context. Things often don't go as planned. I have had disruptive audience members, no access to technology, longer (or shorter) presentation times etc. I have always welcomed a challenge and I have noticed that the audience connects with you when they see how you adjust to the - unexpected! Being prepared and having a good sense of humor always help.

I wrote an equity writing style guide, with conscious choices to sacrifice familiar, easy, smooth language in favor of inclusive language. Examples: pregnant woman vs. pregnant person or male vs. assigned male at birth or people with [disease/condition] vs. [disease/condition] people. I'm still impressed that every time someone tried to revert to the old phrasing, and we met so I could explain my reasoning, each person had an a-ha moment followed by suggestions for more places we could use more inclusive language. Representation matters. I've said many times that if just one person reads our article and sees themselves in it because we chose the not-as-elegant route, it'll be worth someone else tripping over the sentence for a moment.

Neurodiversity Consideration is critical. Diversity isn't just about ethnicity or language; it also includes neurodiversity. People with conditions like ADHD or autism may process information differently. Simple adjustments, like providing written summaries for verbal meetings, can make a significant difference in inclusivity.

I always try to do some research in advance of the needs of the audience to be able to reach for the common ground. It is important to always keep in mind that your audience needs to know the what, why and how. If you know in advance some of the hurdles and prepared accordingly, it is much easier to find the common ground.

Two main techniques can be employed to overcome communication barriers faced when engaging with diverse audiences. First, co-creating resources with your target audience allows you to collaboratively address challenges as they arise. This approach leverages both parties' expertise: your skills in communication and the audience's insights into their own language, culture, and demographic. The second method involves communicating in the language of your audience. This can be achieved through professional translation services, which capture not only the language but also the cultural nuances. By adopting these strategies, you can effectively overcome communication barriers and reach your audience more successfully.

In addition to communicating in multiple languages, in the past when faced with this I have employed multiple communication channels (e.g., verbal, written, visual) to cater to different learning and communication preferences. I’ve had a lot of success with visual aids to enhance understanding, or make a point understandable to multiple audiences.

If your audience is very diverse, stick to what you know works and keep your new ideas for another time. As a speaker sometimes we can get excited about an idea, a theme, a story that has to be tested first. I always keep in mind that my audience will forget the content of my conversation but they will never forget how I made them feel! And they must feel included.
