How can you negotiate with clients to exceed their event objectives?

My personal perspective is that we first need to exercise enough empathetic listening to really understand the clients objectives and their primary success metrics. Finding a value proposition to exceed their expectations then boils down to what specific drivers/levers we have to help them achieve some if not all their objectives.

The question I always asked myself is - How can I make my client's job easier for the event? I remember working on a webinar series where my client needed me to develop 4 session themes. Rather than submit 4, I provided them with 10 to choose from. It made their job easier.

In my experience the difference between creating an impactful product and just a "product" is feeling your client, vibing with them, being on the same side. Before focusing on the specific task (it's need and goals and reasons for that) it is important to setup your mindset fully on the client. Stop taking it just as another job. Do a research, find out what is your client doing, find out why is your client doing that. What is their passion? What are their values? Don't be afraid to go to some depth. Client will be happy, because you are putting effort into it, trying to understand, stepping more into the client's side. And you will make a difference, because it won't be just another job, but because you will be spreading a message.

Meeting and exceeding your client's expectations usually begins with “active listening” to make sure you hear what they are saying accurately and clearly. Then, use “reflective listening” to play their words back to them. “If I understand you correctly, this is what you are dealing with, and this is what you are looking for help with. Is that accurate?” Under promise and then try to over-deliver; be transparent about what you can do and what you can’t; to allow the client to decide what is best for their needs.

In my experience, negotiating with customers to exceed their event objectives requires a MUTUAL approach, focused on understanding the customer's needs and proposing innovative solutions. Here are a few tips/STEPS for successful negotiation: Obtain detailed information about what the client hope to achieve, to their specific needs. Propose taylored creative and innovative ideas that go beyond the customer's expectations. This could include unique concepts, interactive experiences or original approaches. Show that you have taken into account their sector of activity, target audience and personal preferences. Develop a relationship of trust with the client by meeting deadlines and honouring commitments. Be open to adjustments and compromises.

Now that the clients point of view is addressed, I try to share learnings from my previous works some of which can be incorporated while planning to avoid spill overs. Its like narrating a story of achievements with Pictures videos, Social media coverage, acknowledgement, use cases, testimonials etc that help me establish my distinct identity as an event planner. I also try to showcase a diversity from my portfolio, like Product launches, Live shows, TEDx or maybe a conclave or summit so that the client trusts my ability and skills to take his event forward better than the available options in the market.

Difference in opinion is absolutely relevant, accepting challenges pertaining the apt experience of various varied culture of probabilities to modify the situations in reinforcing the assumptions & great expectations to maintain a positive balance in execution of ideological beliefs of the people who are sharing the visionary edge of working together in the right direction. The best approach is to appreciate the aspects presented by different individuals in the same working environment is to understand the different but distinct strengths of each other mindset with humility rather to opt humiliation.

For me this is a very important issue. I always think that a client who is investing a humungous sum deserves to get a clarity and confidence that his money will be utilised to the best outcome. Listening patiently and answering all the queries with relatable solutions is my way. I ensure that I ask a lot of questions but also allow the client to speak and ask as many questions as possible. Validation and testimonials help in case of certain concerns. I study the event and the client well and also follow up through comfortable channels. Yes I try and organise calls and interaction with my previous clients to build a rapport and trust.

Never be reluctant to make oneself in others shoes or skin ; it will be posterity over the impact of leaving the integrity of firm intellectual prospective beyond the boundaries where there may not be a blurred vision of generational development.
