How can you manage vendor relationships in a technology project?

Technology collaboration projects are a wonderful experience to work on. If one or more vendors are there, there has to be frequent agenda based discussions which will bring all the stake holders to the same frequency and a common goal.

Undoubtedly the most important step. Vendors must be vetted thoroughly since there is no going back once a vendor is selected and the project is initiated. One effective way that I practice is to check with their existing customers. During this phase, it's good to maintain a spreadsheet with key factors that measure them based on a score.

When choosing vendors for a technology project, prioritize those with a strong track record, reliable support, and compatibility with your existing systems. Research their reputation, seek feedback from similar projects, and evaluate their responsiveness and adaptability. It’s about finding partners who not only offer the right tech solutions but also align with your project's goals and long-term strategy.

It is important to establish that a vendor understands your needs and can actually provide a solution to these. If in doubt, ask for proof of concept or examples on how this has been solved with other clients. Always make sure that communication and dialogue is working between stakeholders, as challenges and issues WILL occur, but shouldn't require a large pivot.

To communicate effectively with vendors in a technology project, establish regular check-ins, use clear and concise language, and ensure all expectations and requirements are explicitly outlined. Promptly address any issues and maintain open lines for feedback and updates.

This involves setting clear benchmarks and key performance indicators (KPIs) aligned with your project goals. Conduct periodic performance reviews and solicit feedback from project team members to ensure vendors meet expectations and contribute effectively to the project's success.

Managing risks and changes in a technology project involves proactive identification, assessment, and mitigation of potential risks. Establish a structured process for change management, ensuring all changes are documented, reviewed, and approved. Regularly monitor project progress, communicate with stakeholders, and adapt strategies as needed. Maintain flexibility while keeping a close eye on project objectives, timelines, and resources to navigate risks and changes effectively and minimize their impact.

Build trust and rapport with vendors by maintaining open, honest communication, acknowledging their expertise, and providing constructive feedback. This essentially loops back in to the previous steps and should come naturally as you progress through the project. Establishing a collaborative partnership, respecting agreements, and recognizing their contributions fosters a positive, mutually beneficial relationship.

It is also important to consider the support services they provide. Do they have a dedicated support team? Are they available 24x7? Does the company have to pay for support services?
