note, a project management tool is not quite a necessity. if you have a sizeable team, you'll want one, but there is no replacement for ye olde storyboard and screenplay, and showing directors dailies. The best way to have a cohesive product is to begin with a cohesive idea, and making sure everyone has an exact copy and role in it to begin with.

This doesn't always hold true. If it's a personal project, something with only a few shots or scenes, you can simply have one file per scene, and just copy the assets you need, even packing them in the project file to make sure it always works. Many things, such as linking assets so you can adjust them in a separate file, adds complexity, but they're the lesser evil for large productions. There's a point at which an inefficiency becomes more efficient for a team or large amount of reuse. One example is commercials. Rarely more than a scene, or even a few shots, a couple folders is often all the organization you need, and can reduce browsing dozens of folders to look through your dozens of assets.
