How can you manage grant funds during a leadership transition?

Adhere to the rules & regs of the grant & keep new management posted on what the grant parameters are. It's important to not deviate from the grant and to let management know what the expectation of the funders are, and anticipated costs to operate the grant & what the specific requirements are, especially when it comes to budgeting aspects and deliverables.

But in general, two things I found helpful in my transitions that have proven to be effective: (a) A transition plan which includes a full review of all grants, their funding conditions, and reporting requirements. (b) An identified interim successor who is fully introduced to the existing stream of funding, their timelines and is part of the transition team with the leadership ie BOD or Advisory Committee.

Really agree with having an SOP. This doesn't have to be rocket science- but obviously if you have flowcharts in it that really helps. At some point, you're going to have to explain what it is you do! Always easier if there's a document to refer to.

It is prudent when dealing with a transition involving staff turnover in the management of funds, in general, but especially for grants to engage an outside accounting professional. It should not be current outside audit firm. Such a step in a transition can be a delicate undertaking since seeking outside assistance can be construed as negative raising questions on use of funds, etc. However, it can and should be cast in a positive light as a proactive measure to take advantage of a transition as a means to assess whether there can be more effective and efficient actions taken in managing grant funds. Regardless, it is a standard expectation of Grantors and stakeholders that a transition will involve due diligence.

My experience has been that a lot of funders are invested in both your organisation and its programmes, so are willing to provide support beyond the cheque when you communicate this need clearly and transparently.
