How can you make your workflow management more transparent?

To enhance transparency in workflow management, professionals can implement various technical solutions & best practices. Utilize data analytics tools to track key performance indicators and identify bottlenecks. Establish clear, well-documented workflows, and leverage collaborative platforms for seamless communication among team members. Employ version control systems to track changes in documents and code. Regularly update stakeholders through status reports and meetings, ensuring everyone understands project milestones and goals. Combine technical tools and robust communication strategies.

In my experience, adopting visualization tools like Kanban boards or Gantt charts has proven effective. These tools visually represent the state of tasks, projects, and assignments. By maintaining a central location where everyone can access and see the status, priorities, and dependencies, transparency is organically bolstered.

I use the product backlog to clearly define all the features of the product. This is essential for me when I am separating the product from the project scope.

Expecting the new generation to work at the rates and conditions that existed 10 years ago is meaningless. Everyone should be allowed to love what they do. Everyone should be given the right “tools”, such as training, things that employers overlook. No matter what title you give to an employee, no matter how much money you offer, it will never compare to a healthy working environment and, by extension, a peaceful personal life.

As a CRM Administrator I have done this over time and I bet it works, I call them "TASK BUCKETS", these are packets of simple and short tasks that I craft in a way that it allows my team have breathing spaces between tasks and ofcourse this boost productivity and enables good success. In as much as you're paying your team to work, it's better u have optimal performance than extreme workers (they don't last long)

In leading large research projects and longitudinal studies, it is extremely important to break the work down into subtasks and have checkpoints for accomplishments at the various stages.

To make the project easier to handle, you should split it into smaller, doable tasks that can be finished in a short time. This makes it simpler to keep an eye on how things are going and spot problems or risks early on. You can create a task list using methods like a work breakdown structure or a user story map. Each task should bring value to the project, and you can assign specific people to each task and figure out how much time and resources they'll need.

From my EPC projects experience, I've learned the invaluable lesson of breaking complex projects into smaller tasks, such as WBS or Task List. By using such tools, I've been able to visualize the complex tasks and pinpoint where attention is needed. Next, assigning roles and responsibilities to each of these tasks is the second step to consider and their involvment right from that point can be beneficial especially when estimating the time and resources. This approach would eliminate ambiguity and strengthen the sense of ownership among the team which is definitly cruicial to project success.

In my previous experience, I've got the oppotunity to explore various visual wrokflow (VWTs) aka project management tools for optimizing the project workflow. Currently, I am using Smartsheet that has been very helpful in managing our projects. Such VWTs helps us to easily visualize task dependencies, progress stages, and team assignments, through flexible Grid, Gantt, Calendar, or a Kanban view. Another benefits of such tools is their automated wrokflow capabilities. Manual updates, alerts, reporting & communication, which are usually time-consuming and error-prone, has now became seamless. Automating various actions not only reduced the margin for errors but also saved considerable time, letting me focus on other important tasks.

Creating different dashboards for instance to present each project team members’ workload in respect to deadlines can also help you with prioritizing your team’s work. I create versions of dashboards based on my audience and use them for instance in my reports to leadership.

I beleive the essence of success in projects is nearly impossible without having trust & transperancy among team and we can strive for it through regular feedback and effective communication. Utilizing project management tools to enable live communication for tasks, approvals, and feedback can be helpful. I've also found direct interactions irreplaceable. Conducting 1-on-1 meetings with project team members, either weekly or fortnightly based on the project's complexity, has been an important part of my approach. These personalized sessions, alongside weekly scrums, offer a comprehensive view, allowing me to gauge individual perspectives and concerns. Such holistic approach ensures project alignment and fosters a collaborative environment.

Feedback is incredibly important, but actual input and the building of solutions are more effective at addressing issues and opportunities. In my team, we run a series of workshops where we collaboratively build out solutions at key stages for product development.

Establish a culture of open communication by sharing feedback not only with the people of a specific project but to the entire organization for continuous improvement. Share lessons learned and best practices with the entire team.

Based on my professional experience, maintaining a steady flow of communication among project team leaders and stakeholders is essential for fostering transparency throughout the duration of a project's scope. Timely resolution of issues and concerns, coupled with the presentation of innovative solutions to key stakeholders, serves to cultivate a productive and mutually trusting relationship. Such transparency serves to reassure stakeholders that the project team is prioritizing their interests above all else.

Start the day with a daily standup for each developer, use public channels to discuss the project with the entire team, minimize private messages, and schedule catch-up calls with all stakeholders every week. As the team grows, go for more formal processes, such as sprint reviews or retrospectives.

The biggest mistake I've made on this was not asking my stakeholder what they wanted to see on our reports. I spent hours building a beautiful dashboard and then briefed this every other week for months only to find out after a year that my prime stakeholder didn't feel the dashboard was giving them what they needed. Don't assume you know what they want/need, ask them what they want/need first and then build your reports accordingly.

You have to capture the value, tell the story, and be prepared to capitalize on lessons learned. These need to be archived and standardized to some extent in order to make them useful and efficient to utilize within your organization.

In terms of reporting, as with any other communication process, the two ways to deliver a package of information are “push” and “pull”. “Push” transactions come in handy when we need to tailor reporting to the needs of specific stakeholders. Examples include emails, presentations etc. “Pull” transactions allow a wide range of stakeholders to pull the up-to-date info from available sources, like dashboards or databases. Virtual dashboards are an example of “information radiators” - open and easily accessible collections of high-level project info that give all stakeholders a sense of project health and progress at any given moment. They may include the sprint goal, metrics, charts, lessons learned, and basically, any other relevant info.

One crucial aspect I've learned is the significance of tailoring our reports, dashboards, charts, etc. to the preferences of stakeholders more then just disseminating info and to achieve better collaboration and engagement. Before creating such tools it's worthwhile to gather feedback from stakeholders on what they truly want to see. Grpahs or charts vs detailed long reports? Also what metrics are more valuable to them. By understanding these preferences, we can design reports and dashboards that can provide meaningful insights. Beyond showcasing results and lessons learned, this is also an ideal time to highlight contributions, celebrating team achievements and acknowledging areas that need improvement.

Creating a comprehensible report with concise, vital data is utmost important . The primary goal of reports is to empower stakeholders to extract maximum insights in minimal time. Notably, the judicious use of visuals, such as charts, can enhance clarity, but selection is also a critical factor. Ensuring Key Performance Indicators (KPIs) take the prime position at the report’s outset is pivotal. Upholding a consistent and continuous flow throughout the document further elevates its aesthetic appeal and utility.

Use simple tools like Trello or Jira to visualize the progress in a Kanban Board can help all the stakeholders understand the progress of the project.

One core element is to have the clarity of relationships between different flows which unify to complete the project. Its often the breakage in the process flows that end up disrupting the effort and not having a clear end to end flow.

I believe that while the nature of projects varies from industry to industry, hence the methodology as well, fostering an open culture with trust by delegating responsibilities and allowing team members to voice concerns and innovations freely is vital for any project. As PM tools are evolving, therefore embracing the benefits of AI and digital transformation can bring data-driven insights for better efficiency which one must not miss out to learn and utilize.

Collaboration tools like Monday.com and Asana help teams work together efficiently and effectively, regardless of size. They provide a centralized platform where team members can view all tasks, deadlines, and progress in one place. This transparency and visibility helps to ensure that everyone is on the same page and that projects are moving forward on track.

Work flow is not for projects only. Preventive maintenance, planned shutdowns and corrective jobs need proper workflow. By allocating manpower, spares and time for each workflow cycle, and review of these tasks after completion helps in determining the way to further optimize and improve their key points. This will reduce costs, help in impact on environment, spare inventory etc. SAP and other similar database programs if implemented properly, improve the transparency of the workflow and help also in benchmarking the overall progress, future resource requirements and other potential challenges like lessons learnt etc. Whatever the program used, if the data is incomplete or not correct we can't get transparency of workflow.
