How can you learn from past projects to improve your time management skills?

Something not many people think about is that sometimes time management is all about boundaries. Time is our own nonrenewable resource so think twice before you say yes when you mean no. Learning to say NO politely but firmly can be your best time management tool.

Accurate pre-project assessment of the real time it takes to complete tasks is critical to managing the most important elements of your business. As an independent filmmaker, I keep studious records of time spent on everything from fundraising to editing, shooting and even cataloging footage to external hard drives. The goal is to approach each new project with a better idea of exactly how much budget I need to get the job done right, and to ensure I don't end up overextended, burned out, and short on funds.

Organization is crucial when it comes to completing a project successfully. Whether you prefer an agile methodology or comparing past projects, it's important to create an hour allocation plan and analyze the team required for the job. It's also helpful to bring people who are familiar with the project on board so that the learning curve doesn't affect the team's hourly performance. Before kick-off, it's recommended to hold a brief meeting to share learnings and expectations - a mix between a failure party and a planning session. This can be a good way to assess the time and effort the team is going to put into this project.

Communication an assertiveness are key between head of departments and their teams. If there's an opportunity to improve certain process or tasks to avoid mistakes, such improvements must take place fast within a time frame so budget and schedule do not get compromised. And then, It should be divulged, so everyone in interest of the matter is well informed and aware of the new process.

When working on lower budgeted productions, even some medium budget productions, some positions are folded into other tasks, decisions made by a producer who is also putting up money or funding can also effect the project plan and work flow. The other producers need to be ready to convince the less experienced producers and money flow people that detailed plans and best practices are there for a reason. Additionally, past work on smaller or shorter shoot projects with the same team can be helpful to prove the point.

Evaluating your performance after completion of the project is very important. 1st step :Self evaluation,check if all deliverables of the projects were met. 2nd step: Team evaluation -Go through every aspects of the project with the project team to check if all deliverables were met as per the project plan. 3rd step: Feedback session-If the project was done for an outside client, schedule a feedback session with the client to get their feedback on whether the project was delivered as per their satisfaction. When you are done with the three steps, you take all the feedback and evaluate if the project was a success or failure. If there will be phase two of the project, you take the learnings to improve on the next phase.

The best practice tool is accurate data that is up-to date. On fast pace complex projects last week is too late to analysis data.

I think team management is one of the most crucial elements to analyse your best practices. You're a failure if your team is not happy with the success of your project. Because there is no internal motivation for the team mates to thrive with better results. They'll keep on repeating their silly mistakes, not able to come / deliver one time, no effective communication etc are the symptoms. As a leader, it's your responsibility to make a strong internal motivational mechanism in your teammates' mind to achieve a sustainable growth.

Having a budget and a schedule that are kept up-to-date will assist in tracking activities. These two documents provide a measurable deliverable that provides visual communication aid in reports ,and during meetings with stakeholders.

Setting clear goals and deadlines, prioritizing tasks, and utilizing time management tools are effective ways to improve time management skills. Moreover, seeking feedback from colleagues and mentors can provide valuable insights for enhancing time management practices.

There are two important documents if utilized with accurate data can assist in tracking a project's activities. A budget and a schedule are both living documents during the life of a project. Both these documents, if kept up-to-date, will indicate an upcoming issue with enough time to engage a corrective plan of action. On project, where I was brought into after failure or getting close to failure, these documents were not being utilized correctly.

One thing I found helpful is tracking your performance,it is very important to understand and know the amount you take to articulate a certain task in order to get the general idea of how you need to improve on your success rate or value the quality of your perfomance

When we set time according to project instead of client pressure the chances of getting project success will be more for example you can create house in within week but it took months to make home stronger but it doesn't mean you will always give months to one project start to talk about unit time ?t divided time into proportion for one unit work it will provide you chance to examine your unit falliure which you can easily fix i hope you like this ??
