How can you improve your team's deadline management?

When a Task takes 200 Hours, it does not mean 200 Hours at once. There is a difference in lead time, which is a common mistake in project planning. So 200 Hours are around 5 Weeks, but lead-time will easily be double because you need some time getting new Information, approvals, or testing. Could you make sure to differ the total time and lead time?

A common example of setting unrealistic deadlines - Let's say if a task requires 200 manhours as per estimation, the schedule will allot exactly 200 hours (maybe less but definitely not more). 200 hrs is 5 weeks engagement of 1 resource. Now, what if he suddenly goes on sick leave or some emergency leave? The project team needs to get another resource and train him for the job. Sometimes, it is difficult to arrange this at such short notice. Thus, deadlines will be missed. In general, I have never seen projects having contingency plans for resource absence and its implications on the deadline. It is just assumed that the resources will be available at all times whenever required.

To improve your team's deadline management, set clear deadlines, prioritize tasks, break down projects, establish a timeline, communicate regularly, delegate effectively, provide necessary resources and training, monitor progress, foster a supportive team culture, and learn from past experiences.

Make realistic deadlines for any sort of tasks, collect the feedback on the progress of the task regularly, identify the loop holes and leverage your constant support to your team members. Educate about the importance of the task and Don't forget to motivate the team for the given tasks.

Another benefit of regular check-ins is the fact that blockers can be addressed early on. Sometimes devs on my team want to work on a problem until they crack it but this can affect the timelines if the blocker remains active for long. Instead, encouraging them to share the issue so the team can brainstorm solutions helps to solve it quicker.
