I completely agree, phone etiquette is the most important part of any role. However, it's not just the receptionist who needs this skill. If every member of your teams do not also learn and use this skill, well customer relations and reviews will sooner or later reflect this failure. We live now in a society where it is so very easy to share our experiences with everyone. I do agree that regular feedback is required to stay on top of your game. I also believe that refreshing training is a must. I still learn new things and ideas when ever I do follow up refresher training, we always need to be open to learning and development.

In my experience I have found that if I introduce myself before asking to speak with someone I have a better chance of being put through to the person I wish to speak to. If I simply ask to speak to the prospect I am asked first what is my name and then what is the call about. By then I’m on my back foot. With a confident voice I state my name first and the implication is the person is expecting my call. It is a slight variation but quite powerful. I personally had the great pleasure of speaking with David Packard years ago using that technique.

But if the outcome is the same, and the path taken wasnt detrimental to others, its okay to carve your own path and find a way that works for you.

Also ensure that the recipient is aware that this will happen in advance, so create an environment where they are comfortable with that. Emphasise the positives and look at ways on improving. I agree. I work with faculty to submit proposals for external funding. I always address them according to their professional titles, say please and thank you, and have patience with explaining difficult processes. Once the proposal is submitted I wish them luck and let them know our office will be happy to assist with future proposals.

One thing I've found helpful during giving feedback to agents or doing coaching partnerships is to follow a coaching checklist: - Was the coach prepared for the session? Did they know what areas the Agent had been marked down in? Did they have notes ready for the session? Was the call ready to be played? - Did the coach open the session in a friendly manner and build rapport with the agent? - Did the coach play the phone call/live chat back for the agents to listen/read to it properly? - As well as discussing what should be improved, the coach should acknowledge at least 2 things the agent did well. - Was the agent given at least 2 clear targets after the session and how to achieve them? Were these documented on the coaching form?

The first thing I pay attention to when I get on a phone call with clients is my tone. You can "hear" someone's mood from their voice tone. I make sure I am welcoming and delighted to be on the call. After that, my intention is to listen. Listening is a skill that requires constant practice. I listen to their needs, their problems, and their mood. Then only am I able to craft a solution and establish effective communication.

If someone is giving you feedback, it is not the same as them criticizing you, putting you down, or anything negative. It is actually a great thing, especially since it is free! If you find yourself getting irked when others offer you feedback, try shifting your mindset around feedback. If you feel they are being rude or disrespectful with their feedback, speak up. Let them know that you are open to, and appreciate, feedback, as it is a source of potential growth, but only if it is constructive. You don't have to get nasty with them. It is too easy to be nice. If you are coachable, you open up many more doors.
