I like to prepare PDF documents including everything from storyboard to reference photos, a written and a verbal description of what the goal is. Words alone can be interpreted differently. A picture brings everyone on the same level and works as a solid foundation for the SFX artist.

This is something that I have experienced problems with in the past. Leave the guesswork out. Ask many questions and do tests until you get approval. Then take initiative to communicate with relevant departments even if you think they know. Ensure they know! It might take time and effort, but the last thing anyone wants is to be standing on set looking at a rig that doesn't deliver on the expectation.

As an AD I understand that SFX sometimes feels like the stepchild on the set, only coming in on special occasions unless there is haze. The single most important thing to remember is that you are a speciality department and as such the other departments possibly have no idea what you have planned and need to be communicated with in order to be properly prepared. Email is your friend and don't be scared to start a whatsapp group with the director, producer, DOP, AD and anyone else you think needs to be prodded for information/approvals. We're all here to make the same movie ;)

At the end of the day, all department heads need to communicate with each other, scene for scene. This is why I guess pre prod is a vital part of the production process. Those pre prod meetings that feel like such a pain and a waste of productivity time are so important. Have your sfx, stunts, vfx, sound and all the department's meetings until everyone is on the same page. So worthwhile in the bigger scheme of things

In my opinion if you have to do all of these things you hired the wrong people. Film production is not a bunch of students with no experience that need to be monitored: If they are; hire the right people! Professionalism is needed not amateurs that need guidance and supervision, and better communications. The actual production process shares the digital files from one section to another, each see the work of the previous work. Like in Adobe the digital files are inside of both, like After effects, Premier and Auditions automatically. All experts see the results instantly. This stuff is automatically watched out for by professionals through each process and stages of the whole production processes.
