How can you identify client expectations when planning an event?

I manage The Longest Day fundraiser for the Alzheimer's Association Colorado Chapter. I help participants develop their own activity/event fundraiser. To support them, I ask guided questions, and listen to their answers, listening for the details that hint to what might work well for them. What's important to them, what are their goals? What has worked for them in the past? How comfortable are or aren't they with the "ask" in fundraising? Then I'm able to offer ideas that align with what may work best for them, and let them guide us to what's resonating the most for them, adjusting as we go along. This builds the relationship, and has made it likely they will be back the following year.

One thing I have found helpful is trying to understand the stakeholders need from their perspective and the type of audience they are targeting. Where lies the main task in brainstorming security for the event and find the main loopholes to mitigate which can save considerable losses to the stakeholder. Analyze the time and effort taken to plug the gaps to have a secure environment.

What do you want to accomplish with this event? What is the purpose? My clients are celebrating the past year and ask supporters to help them do more in the next year. What do you want your attendees to experience at your event? How do you want them to feel? Our main goal for this event is to celebrate the past year's achievements and successes, while also looking towards the future with excitement and motivation. We want our attendees to experience a sense of pride and accomplishment for being a part of our journey, and we want them to feel inspired and empowered to continue supporting us in our mission. As you plan, consider what you want your attendees to say, think and feel about this event long after it's over.

Create a formal document outlining the purpose and scope of the event. Share the document with key stakeholders and the planning team to ensure everyone is on the same page.

Every event has a purpose, whether it’s business, social or somewhere in between. If you are hosting the event, you already know its purpose. But if you are simply part of an event, e.g., a featured speaker or panelist, then you need to engage in deep conversations with the company or organization hosting the event. It’s not enough to know the publicly stated purpose of the event, often headlined in its name, you need to learn the overall vision and purpose of the company or organization staging the event and how this event fits into their overall strategy. You should also engage them in sharing the makeup of the attendees and what they would like to occur, short and long term, as a result of the event.

In my experience , I've learned that articulating precise work expectations cultivates a foundation of transparency and honesty in client interactions. This not only mitigates the risk of false assumptions but also contributes to the establishment and preservation of clear professional boundaries, ensuring a more productive and harmonious working relationship.

In my experience the more organized I am the better I can prepare for anything that could go wrong, this can also help e come up with plan b to my plans.

There are three dimensions to how your client will most likely feel you delivered as a vendor; undelivered, delivered just right, or over-delivered. First thing is you want to even take a step to know exactly is you want to make sure your fantasy for their big day is equally in line with what they want, by this, you made sure that all text, videos, pictures and other tools are convenient for them to access, easy for them to use and each time, each delivery reassures them of why it was best they chose you to be their vendor in the first place.

Client feedback is critical as well as self reflection. Feedback is a gift and can be so positive. It’s important that mistakes happen as long as they aren’t too big you can pivot to still have a successful event and happy client.

Regularly review timelines, adjusting planning cycles as needed. Stay informed about industry changes, health considerations, and supply-chain issues. Incorporate ongoing evaluations into your strategy, promoting a proactive stance in navigating potential hurdles.

In my own experience, I write down a report on each event I execute. Before I submit my report I engage key stakeholders in a post event analysis meeting to discuss matters arising from the event. Most of these fallouts are captured in my report. So now if I am to execute same event at a different time, I just refer to the report. In most cases stakeholders point out where their expectations were not met during post event analysis sessions. So by scripting these concerns, it guides me in identifying the expectations of my clients.

Always be prepared to expect the unexpected. Last minute changes are very usual. Adaptability is a key to accommodate or modify urgent change requests.
