1 Explain the value of IA

The first step to help your mentee balance user and business needs in IA is to explain the value and importance of IA for both sides. You can use examples, case studies, or analogies to show how IA can improve user satisfaction, engagement, retention, and conversion, as well as reduce costs, errors, and support requests for the business. You can also highlight the risks and consequences of poor or inconsistent IA, such as confusion, frustration, abandonment, or negative feedback from users, and lost revenue, reputation, or trust from stakeholders.

2 Understand the context and constraints

The next step is to help your mentee understand the context and constraints of the IA project. This means identifying and analyzing the target users, their needs, goals, behaviors, preferences, and pain points, as well as the business objectives, scope, budget, timeline, and resources. You can guide your mentee to conduct user research, such as interviews, surveys, or observations, and stakeholder interviews, workshops, or surveys, to gather relevant data and insights. You can also help your mentee to define the success criteria and key performance indicators (KPIs) for the IA project, based on the user and business needs.

In my experience, clearly defining the project objectives, including the company's objectives and constraints, and fostering cross-functional collaboration are keys here. Make sure a clear communication channel is established between different teams, and everyone is aligned with both user needs and company objectives. Work with cross-functional personnel to understand the vision, technical capabilities, and financial constraints, as well as the difference between essential user needs and nice-to-have features, and focus on what truly matters to users. It is also important to remain flexible and adaptable to changes, be willing to adjust company objectives based on evolving user needs or preferences, and market conditions.

3 Create and test IA prototypes

The third step is to help your mentee create and test IA prototypes, such as sitemaps, wireframes, or card sorting exercises, that reflect the user and business needs. You can advise your mentee to use best practices and principles of IA design, such as clarity, simplicity, consistency, hierarchy, navigation, and labeling. You can also encourage your mentee to involve users and stakeholders in the IA design process, by soliciting feedback, suggestions, or validation through usability testing, user testing, or heuristic evaluation. You can help your mentee to iterate and refine the IA prototypes based on the test results and feedback.

4 Communicate and document IA decisions

The final step is to help your mentee communicate and document the IA decisions and rationale to the users and stakeholders. You can coach your mentee to use clear, concise, and persuasive language, as well as visual aids, such as diagrams, charts, or screenshots, to explain how the IA meets the user and business needs and expectations. You can also assist your mentee to create and maintain a comprehensive and consistent IA documentation, such as style guides, specifications, or annotations, that can be used by other team members, such as developers, designers, or content writers.
