It should be given to help that person grow and be an opportunity for such. It should also be done with transparency and authenticity and take into account culture, historical and gender issues as well as the ability for the person receiving the feedback to respond.

Before giving feedback, it is important to ensure that both you and the person receiving it are adequately prepared. To do this, you should reflect on your biases, assumptions, and expectations, review the evidence and data that supports your feedback, plan the content and structure of your feedback, and choose the best time, place, and mode for giving it. Additionally, you should explain the purpose and goals of the feedback to the person receiving it, ask for their consent and readiness to receive it, establish rapport and trust with them, and encourage them to share their own self-assessment and feedback.

It means asking them if they want it in the first place, or in professional relationships having those conversations around how they best prefer to receive feedback so that you can meet them where they are at. The best way to prepare myself is to say - what can I give to this person in this process? How can I help support their growth? And even if they reject the feedback, I will have done my part to make them grow (or the organization grow). Often I find myself giving feedback to leaders of nonprofits and delivering hard truths - if delivered with empathy and love and I am able to then further support that feedback with an action - the end result is a stronger organization.

4 How to deliver feedback

When delivering feedback, it is important to follow certain best practices that can boost the effectiveness and quality of your feedback. The sandwich method, which involves starting and ending with positive feedback, and inserting constructive feedback in the middle, is one example. You could also use the SBI model, which describes the Situation, Behavior, and Impact of the feedback. Additionally, you can make your feedback SMART by making it Specific, Measurable, Achievable, Relevant, and Time-bound. Open-ended questions, active listening, and paraphrasing can help you check for understanding and clarify any doubts or confusion. Furthermore, use positive and constructive language to avoid words that are vague, judgmental or blaming. Non-verbal communication such as eye contact, facial expressions, and body language can also be used to demonstrate respect and interest. Finally, use feedback as an opportunity to coach and mentor rather than criticize or punish.

I respectfully disagree with the sandwich method of giving feedback. I think this method can create confusion and dilute the impact of the feedback. Sometimes, we need to be assertive and use methods for critical conversations that address the issue directly and constructively. I don't mean to be rude or insensitive; I just think that clarity and honesty are important for effective feedback. As the saying goes, a bitter pill can be good medicine.

Always say thank you - even if you disagree. Someone has taken the time to help you grow. But then know that you have options on what you want to do with that feedback. You don't have to accept every piece of feedback you receive. You can choose to agree with it and incorporate it into you growth. You can reframe it for the person and provide context. You can ignore the feedback. If you do choose to take action, try to follow up with the person who gave you the feedback and let them know how you implemented it.
