You use a style guide for two things: 1. To settle disputes Do I write $1 million or $1 million dollars? The style guide will tell you. 2. To answer questions that you should spend much time thinking about. The writing industry has answered many of those questions for you. Accept the answer and move to more important things. Like writing. The only thing that remains then is to choose a style guide that you will use. In my personal experience it boils down to this: If you are writing for publication, use the Associated Press style guide. If you are writing for academia, use the American Psychological Association style guide. There are ample resources and cheat sheets online for both. Just make sure to get your citations right!

Eye movement studies show that people do not read everything on the page. They typically start by reading most things at the top, then progressively skim as they move down through the document. But they will read every heading as they skim. Well crafted headings serve as a roadmap for your writing. Done properly, they tell the complete story at a high level. Each major heading should capture a major idea. And each subheading shows the evidence to support that idea. In this way a reader can dip in and out of the work, digging deeper into those areas of particular interest.

Alignment affects the layout of your text. You might choose to align your text to the left, which is standard in most documents, or justify your text, which aligns it to both the left and right margins.

You can use online tools to assist, but a unique way to do this is to go word by word, starting at the BACK of the document. A lot of work to be sure, but worth it for certain projects.

Print out your work and go through it with a red pen. You catch so many details and errors in 3-D that you might not on a screen.

In primary school I was taught what eventually became the best checking tip of all: read a text backwards! Not the single words, letter by letter, but reverse the reading order from the last word to the first one. This way, you'll sure to spot every single error and misspelling.

Most word processors have tools that can help you format your document. For example, you might use the “Styles” feature in Word to apply consistent formatting to your headings and text quickly.

Formatting is an important step in writing. DO NOT SKIP IT! A great tip is to create a template ahead of time using the styles. Then insert your text and apply the styles.

You may not recognize a need to edit more until you preview text (e.g. realizing it’s too long to read on a phone). Nevertheless, the processes remain separate.

Unify the vocabulary. Although it’s about formatting, but during the editing and proofreading process one should also check the vocabulary used throughout the paper. If it’s a technical content, make sure you’re using the same terminology.

Most places you can’t control formatting. You have templates for everything and they define your look and feel. Usually maintained by a different group. All so the writer can focus on content, not look and feel. And yes, templates have changed on me mid-project. They really are two different things. The most recent place I worked had templates in markdown. I had no idea what my product looked like until I built it. And I could make suggestions to the template team, but I had no control over look and feel.
