How can you ensure your team delivers a memorable event experience?

An important thing I’ve found is to make all objectives something that are discussed closely with all stakeholders and team members. The most common mishaps that occur are the miscommunication of goals. An example of this is when I worked on a project together with a large organization customer, and even they didn’t actually know what they wanted fully and specifically from the project. This was solved in the long run, but resources were not used to the best extent from the start and it loaded excess work on the whole team. Yet, even this was a good case to learn from and figure out the strategies to use when discussing the objectives with the team.

Begin by establishing a unified vision for the event and communicating this vision to all stakeholders. Encourage collaboration and creativity, allowing team members to contribute skills. Regularly check in on progress, addressing any challenges promptly. Foster a positive and enthusiastic team culture, emphasizing the importance of attendee satisfaction. Attention to detail is crucial, from planning logistics to executing the smallest event elements. Finally, conduct thorough post-event evaluations to gather feedback, celebrate successes, and identify areas for improvement. By cultivating a cohesive, motivated, and detail-oriented team, you lay the foundation for a memorable experience.

I’ll keep it simple- What’s your North Star? How can you use its’ guiding light to inform each of the creative choices you make? This can help you to find consistency in your storytelling, messaging and intent for your the event while also providing an experience that is well conceived and thoughtfully fleshed out.

The team needs to be involved in the objectives and they need to be achievable. Share the vision from the outset, ensure that people know what the event brief is, how you plan to achieve that and what their part is in the delivery of it. Make sure that your team know how much autonomy they have and when they need to come to you for decisions and be willing to listen when they have experiences that have led to better events in the past. Ensure you are checking in (not up on!) regularly and that the objectives are progressing. Ensure you are checking things off on the project planner, so that you always know where you are and ensure that the budget is well communicated.

Establishing a common vision of what the event's feeling is supposed to be is certainly one of the first steps. Is the goal to have people network and create new bonds? Is it to make your own company feel more united? Making sure everyone is aligned is incredibly valuable to ensure stakeholders won't be disappointed.

I never consider myself the smartest person in the room. In fact, my goal is to consistently build out a team of left and right brained individuals who bring dynamic perspective and creative thought. Once you understand the strengths of each of these contributors, empower them to carry the vision forward. Hopefully you’ve defined your North Star, your goals and the metrics by which you weigh choices and measure successes- And since everyone on your team should be in-tune with one another, you can collectively move the various aspects of the event consistently forward, TOGETHER!

Without collaboration, no ROO will ever happen. As event planners manage a host of tasks and responsibilities dropping the ball on ROO will affect the ROI. I see that event planners value the audience experience but if you do not effectively manage the tasks and responsibilities of the overall event with care, the attendee experience could be great but you will end up paying for it literally in the long run. This is why CEOs and others in management have a hard time considering events for marketing because of the resources and planning needed to bring back ROI. We need to manage our events smarter and more effectively in this new age of Tech!

Assigning clear responsibilities by department can be impactful in independent departments. Checks and balances between departments through assigned communication periods helps the team as a whole.

The design and all other preparations aside on the production period itself it's all about your team and your trust in them. For me it always worked blind in that.. The trust. The team knows what to do and do that to their best capabilities at all times. We all know that it's the summ of all factors that make it unforgettable. And only together we can get there. Time after time

It helps to have a clear overview of your teams strengths and weaknesses. Allow people to volunteer to take on roles. Encourage them to be open about challenges they may be facing in fulfilling those roles and look at ways of offering them support or guidance to help them succeed.

Working on music projects in a collaborative manner is essential to developing creative expression, which can result to creating a great product. When collaborating with another artist or multiple artists, it is important to have clear communication. As result, everyone is on the same page. Therefore, you and your team member can execute a product into fruition.

A good production always starts with a good pre production. Getting all the facts in a row No detail untouched. The contact between all parties must have been clear and present . In-house and outside parties. Only this brings calmness to the always hectic days. Off course the team needs to know to the dot what is expected. Best to give them the time for that as well in preparation. This means extra hours but the success is guaranteed.

Having regular catch ups with the team so that everyone is aware of what is happening and if there is anything that help is required with. Choosing the best people for each job from their skills but ensuring that people are included on all roles and given the opportunity to grow.

Make sure everyone is on the same page, they all understand the plan, the timelines, the budget and they all have a part to play to make it happen. I also walk through the customer journey with the team, whilst explaining roles and expectations. In this way, they understand how their role affects the customer journey and ultimately how it will affect the customer's experience.

I know, we all wish that every detail of each event would execute as planned… however we all know that’s not the reality of live events. Have alternative plans you can dump to or side step toward to mitigate the effects. Rain? No problem, we have a rain venue. Lighting fixtures not working? All good because you negotiated backup fixtures with your AV partner at no cost. It’s about learning to see and anticipate problems before they arise, and having proactively addressed and solved them.

There are plans and there are plans The main thing is again the team. You built it too know them. They are certified in your book. This eliminates a lot of failures.. From grid to lighting. It will work. But there is always the X factor as I call. This varies from An unwell artist or performer To the guest.. The guest can be a spoiler.. But when a guest goes into a seizure because of stroboscope lighting the MAIN light will HAVE to go on. Ambulance will NEED to come. It's just an example But the main thing is you need to keep your calm and deal with it. The best and quickest way to the least discomfort for the audience. Adequate people in all disciplines is a must. You hope you don't need them. In which case the event went smooth.

You can't work in events without being flexible. Contingency planning is required all the time and you need to ensure that your team are adaptable at a moments notice. RAMS are vital, ensure everyone is working safely and minimise risks where possible. Know and look after your team and they will do the best job that they can for you.

Never underestimate the value of feedback and appreciate that feedback needs to be more than a number. The data behind a score is essential when analysing feedback and presenting to your stakeholders. No event is perfect and no matter how good it is, it can be made better. Ensure when you complete the evaluation to remind your team of what a great job they've done and that the feedback is used as a tool, not to demotivate them.

As part of the final evaluation, it is a good time to define/review any procedures so that the process can be repeated/improved. Collate feedback into statistical data for further analysis which can be used to help compare/evaluate future events.

By being this meticulous, there is more focus on all aspects or what the customer actually experiences before actually reaching the event.

Ensure you have a solid communication strategy for all pre-event, during-event, and post-event opportunities to engage your audience to elevate your event's experience. In my humble opinion it comes down to ensuring everyone is on the same page and "feels" what the event should "feel like" to the audience of said memorable event. How to achieve that? When emotions are triggered, memories are created. We need to ensure that at every step of the way, those triggers are at the forefront of the team's mind and that they strongly believe that by triggering those emotions memorable events are then created
