Training is mandatory especially hands on training other than online training. It doesn't mean that he can work on every system after just a technical training. An employee first needs time to understand the problems to apply his training knowledge. But in many cases he will get stressed due to customer pressure and never apply his training knowledge to find the route cause analysis.

From my perspective, I believe the first thing is to have the mindset of being prepared to adapt in order to provide the services during crisis situations. This preparation should be manifested in our ability to identify risks and have contingency plans, such as plan B and plan C. Additionally, it is crucial to ensure that the plans are feasible in terms of available resources and the workers' capacity to implement them. One effective approach could involve using demo trainings to train and equip the workers with the necessary skills.

Enable your team to work as close to autonomous as manageable. Give them the best tools the operation allows and the ability to develop through on the job training, customer role plays, and routine 1 on 1’s.

Having the Latest and greatest in new technology is great in theory, but it all comes down to budget. If you don't have the budget, you're not gonna have the best equipment, so you need to learn how to train your people with what you have.

Customer Service staff cannot provide excellent service with out-of-date and subpar equipment. Investing in the best tools and resources for your team is important to success. PCs and Laptops that are out of warranty are more likely to encounter incompatibilities with other equipment and software. There are also security concerns with out-of-date equipment. Setting up a complete inventory and determining a replacement cycle will assist with budgeting for future upgrades. This can be done simply in an Excel sheet with as much detail included as needed. Having this document on hand and updating it regularly allows for transparency when working with the person or department in charge of approval for these purchases.

Be accountable. Emergency service providers should be accountable for their actions and decisions. They should be willing to learn from their mistakes and strive for continuous improvement. Greet callers with a friendly and professional tone of voice. Listen carefully to the caller's needs and ask clarifying questions. Provide clear and concise instructions. Keep the caller informed of the situation and progress of the response. Be respectful of the caller's time and property. Express gratitude for the caller's cooperation.

Setting expectations for your staff is imperative if they don't know where the bar is, how do you expect them to attain a certain level.

Modeling the way for your employees shows them not not only do you know their job and can perform their job successfully that you're there to support them when they need it. When you're short staffed. You absolutely have to model the way.

Again with staff expectations, Especially in emergency services such as dispatch or something that is a dispatched service, you have to set the expectation that nothing is ever going to be the same. If you can accept a change environment and roll with it, then you'll be successful. If you think you're going to be set in your ways in a change environment, you're setting yourself up for failure.

Respect the customer service professional. I have seen that a lot of people used to request whether an engineer can work on late night or weekends to reduce patient impact esp in the medical service field. An engineer working late at night may impact his decision making skills and concentration at work. Again if he works on the very next day it may create chaos. The customers should respect the value of a service representative, his time and passion. Give him his space to understand the system issues rather than asking him when will it get ready? at times. I do have the same calendar as yours and most of the people are just blindly selfish when it comes to their problem.

Customer Service in the emergency service industry starts with compassion. Without compassion you can’t have customer service. From the fire department, police department, to EMS you have to remember that the “customer” you are working with is going through something. With fire its destruction. With police it could truly go either way but in both cases it requires compassion to deal with it all. With EMS (which I’m more familiar with) it takes compassion to deal with the joys and the tragedies both for the patient and the families. Customer Service is totally different in the Emergency Services industry because it’s not a cut and dry environment.

All customer service work takes emotional energy, especially when working with customer's experiencing extreme situations, as is often the case in Emergency Services. And in some cases, employees can experience trauma themselves during the communication. No one can pour from an empty cup: do your employee's feel supported? Is there enough coverage if someone gets sick or needs to step away to recover from an intense situation? The best way to know how to improve is to ask the people working for you. Their input will help retention and improve your internal culture, which improves business overall.
