Creating a Vendor scorecard will be a great platform to discuss and share results. It should be based on the agreed upon performance criteria and general customer service expectations.

One thing that I have found helpful in evaluating vendors is to have a clearly defined SLA sheet. Also,developing scorecards with functional and non functional, strategic, financial and ethical criteria as key components with weighted scores help maintaining a clear performance matrix for any vendor. A 4*4 quadrant for critical to business/complex to manage mapping can highlight high risk (replacement) and high worth (long term) vendors for your organisation.

These reviews should be done at least once a year and should be agreed between Vendor Management, Procurement and Finance. Following a risk-based approach for the review process allows your organisation to review and rate vendors based on how much risk the vendor poses to your business instead of reviewing all vendors every review cycle. Using local regulatory requirements assists with selecting and ranking the vendors so that your resources can focus the review on critical service providers e.g systems that run the business like an ERP or billing platform vs the PDF editor application.
