How can you encourage IT Operations Management team members to collaborate more effectively?

It is important especially in a team that is in support function to be able to understand and relate to the organisation vision and mission. This should in turn help them in clarity towards the shared objectives and thus help them in shaping individual goals as well. Processes within the organisation and within the ITOM teams are key to achieve the objectives and therefore the processes should be defined carefully and tested periodically for effectiveness.

One of the first steps to improve collaboration is to define the roles and responsibilities of each team member in the operation. This helps avoid confusion, duplication, and conflicts over tasks, expectations, and deliverables. The key is to follow the process diligently. Communication among them should be crystal clear. Learnings from the field - Implementing OKRs had a tremendous impact on IT ops during my career, and I have witnessed such transformations first-hand. It was more than just re-painting setting goals; it helped unite our team with a shared vision. Defining common metrics is a perfect way to let the teams members visualize their collective performance. It is beneficial to link these metrics with overall strategic goals of organization, as this can be a great motivational factor for teams to collaborate effectively to observe the impact.

'Working out loud' is a great way to improve communication and knowledge sharing, and doesn't need any extra tools or training. With 'working out loud', you encourage your team to openly talk about and share what they are working on , what their challenges are, and what they've achieved. It's no longer appropriate to keep your work output private, to be only released in a 'finished' format. Let others join you on your journey and join others on theirs.

The most important thing to foster collaboration is to eliminate SILOs and gaps between cross-functional teams and also ensure that they have view of the same data real-time. Most of the Service Management platforms today allow for configuration of an Operations Workspace which allows for common dashboards to be seen and accessed by L1 monitoring and L2/L3 resolver teams and ensure that SILOs are eliminated and all teams involved have the same view and perspective real time which in turn helps in faster resolution of issues.

In addition to internal team collaboration withclear roles & responsibilities, cross-functional collaboration helps to achieve better efficiency, as we get to understand their perspective and help them to achieve their tasks, with relevant controls and monitoring implemented.

With a variety of collaboration tools at our disposal, cross training using video and screen sharing can help teams to distribute their knowledge and reduce segregated knowledge amongst many organizations.

Collaboration tools have become an additional lifeline for the team members for continuity of the services, with easy passing of communication to next level and also maintaining the entire trail for the holistic view of the incident/service

I suggest to follow ACT (Accountability, Communications, Timeline) for smooth execution of IT Operations management. The perfect blend of taking accountability for the operations with timely communications and ensuring the tasks/activities are completed in the agreed timelines, leads to operations efficiency.

While using software tools is helpful, it's always essential to have clearly defined roles with department goals aligned with the company's. In my opinion this allows for open and collaborative conversations that stick to what's important and helps to pave a path forward in the growth of an organization.
