How can you encourage communication during a volunteering event?

Creating a welcoming and inclusive environment is crucial for encouraging communication at volunteering events. Establish clear guidelines promoting respect and open-mindedness. Acknowledge and celebrate diverse backgrounds to foster a sense of belonging. Encourage active listening and value every volunteer's input. Use icebreakers to break down barriers and promote camaraderie. Display inclusive signage and provide accessible resources. Regularly check in with volunteers, addressing concerns promptly. Prioritising inclusivity cultivates a communicative atmosphere, ensuring diverse voices actively contribute to the event's success.

Creating a positive, impactful, mission-focused experience for volunteers starts with a clear vision, purpose, and shared understanding of goals and expectations. No matter how large or small their role, volunteers play a valuable role in the success of the event, and it's critical for each individual to feel seen, heard, and respected. Solicit feedback from previous volunteers as you build your volunteer journey, create opportunities for feedback and buy-in, and co-create a meaningful and engaging experience that will keep volunteers coming back for more!

Before my volunteering experience recently at the One Young World Summit, I had discussed the journey bit we had a little challenge that could influence our going, we were in the middle of this when he softly asked me "is it was worth it?". I was able to convince him because I had expectations even before the year haha. It is good to have one, it helps you to explore the opportunities that comes with volunteering.

To encourage communication during a volunteering event one can create icebreakers, team-building exercises, and a buddy system. Utilize open discussion forums, rotate tasks to diversify interactions, and employ communication platforms. Conduct feedback sessions, provide comprehensive briefings, and offer networking opportunities. Recognize and appreciate volunteers publicly, organize debriefs, and introduce challenges for collaborative problem-solving. Interactive workshops and casual networking further foster open communication, creating an engaging and connected volunteering experience.

This would help greatly too: Start the event with icebreaker activities to help volunteers to get to know each other. Establish clear communication channels for volunteers, such as a group chat or a communication platform, to keep everyone informed. Most people will start a conversation first online. You can also schedule regular check-ins or meetings during the program to discuss progress, address concerns, and provide updates. This will help greatly especially if everyone is asked to share their experiences and challenges Lastly and most importantly, lead by example. You must demonstrate effective communication by being approachable, responsive, and transparent.

Communication starts at the top and the bottom. Encourage those that are the most importantly placed through your organization. You know how to do that! Glenn

As a volunteer myself, I observed that motivation of friendly atmosphere can generate interest and interaction towards each other. Imparting sense of care and support can also boost the inter communication system and building a new teamwork relationship ??

Creating a friendly environment and make them feel important or crucial for this we can try to introduce them to everyone as well as special talk sessions for them

In a world full of ways to communicate (social media, email, phone, apps, etc.), we have many ways to engage our volunteers. Three things to consider: 1. What age/demographic are your volunteers? Some young professionals won't show up to an event if it's not on their 'Slack channel' (app) and others refuse to use them if it means downloading something on their phone. 2. ASK THEM: Sometimes we use email/phone, not realizing the group prefers to use another way. Discuss with your volunteers how they prefer to be contacted (and how often) which can make them feel included + increase response rates. 3. Clear Communication before, during & AFTER: Be clear and concise on expectations. After all is said and done, make sure you say THANK YOU.

Dealing with the different generations also increases your sensitivity to their needs. Older generations prefer more personalized interaction while younger generations may not.

Give them a platform where they can communicate and where they can feel empowered to engage more in your organization (like Engage Spaces or Slack). Volunteers want to feel like they are a part of the organization’s movement and it’s event(s). They rarely want to feel like they are just free labour for a one-off event. Providing them with the appropriate tools, and you will signify to them that you care and value their position.

Use a public address system for important updates. Printed Materials: Distribute schedules, maps, and information brochures. Digital Platforms: Set up event websites, social media pages, or apps for real-time updates. Emails: Send pre-event details, schedules, and any changes. Visual Displays: Use signs, banners, and screens to convey information visually. Verbal Communication: Train staff for clear and effective verbal communication. Interactive Stations: Have information booths or interactive areas for queries. Social Media: Encourage attendees to share their experiences online. Adopting a variety of communication channels ensures that information reaches participants through different preferences and accessibility needs.

Communicate relevant information at least 6 Times via at least 3 Different ways. Verbal, written, Video would be a good variety to exemplify the differing ways. If Several Shifts are involved, they should all receive the same same 6X3 information.

Recognition of volunteers is so very important. Nothing is more important than time, and giving it away for free should be commended. Being appreciative is also important if you wish to continue having volunteers. As unappreciated volunteers will soon relocate and seek an organisation who appreciates them, and rightly so.

Two thoughts come to mind. 1) Separate feedback and recognition. 2) Both need to happen in a timely manner. Why separate? The thank you is perceived as more genuine when it comes without strings (like now fill out this feedback form please). In terms of timely, let's thank volunteers as their shift ends and again within a couple of days post-event. For feedback to be useful, getting immediate impressions is important. Consider "how are we doing" & "how are you doing" touchpoints during the engagement and more detailed post-event survey. We did a how are you doing touchpoint at an event and learned something we were able to correct on the spot - which we then send out a note thanking the volunteer and announcing the change.

After an event, gather feedback through surveys or evaluations to understand participant experiences. Recognize volunteers and contributors publicly, expressing gratitude for their efforts. Use constructive criticism to improve future events and highlight positive aspects to motivate continued engagement.

If the Leader senses Rubber-necking or Group Think I have found it best to move towards quantifying perceptions to drive towards Storming in the Team. Truth is often blocked due to Fear of Change. Releasing that energy outwards, and in a controlled environment, is often seen as the best compliment to the participants.

After the event ,gather all volunteers and thank them and say that without them,the event could not be possible.Empathise them and embrace their work which creates a volunteering team that might be helpful even to your future events.

Establishing a rapport or common ground creates relationship. This supports communication and attentive reception. It is easier to communicate with someone you know than with a complete stranger.

When the Team understands the numbers (Control Charts, Parato’s,…), they all gain Perspective on how Individual Actions Affect the Mission of the Organization, and subsequently the areas of the Organization the individuals represent.

Send thank-you emails express appreciation and summarizing key takeaways. Surveys: Distribute post-event surveys to gather feedback for improvement. Social Media: Share highlights, photos, and participant testimonials on social platforms. Newsletters: Include event updates and future plans in regular newsletters. Follow-up Meetings: Arrange follow-up meetings with key stakeholders or participants. Website Updates: Keep the event website updated with post-event information. Personalized Outreach: Reach out individually to key contributors or participants for specific feedback. Acknowledgment: Publicly acknowledge sponsors, volunteers, and Consistent and varied communication methods help maintain engagement and keep stakeholders informed.

Establishing a strong communication among the members makes your goal accomplished by 100%.Create groups on social media and interact them.Encourage them to share their ideas and see whether it can be incorporated to the event.This way accountability and sincerity can be achieved.

Continually involving volunteers in activities both for their development and progress of the group they have been placed in makes them own the actions.

Volunteers are an extention of your events team. They represent the brand. So, make sure you're interacting with them in the same professional capacity as the rest of the paid staff. And, make sure they truly understand the importance of how their responsibilities dovetail with those of the paid staff. Finally, make it fun for them! Find a way to make them happy they gave up the opportunity to do something else that day and instead came to volunteer at your event!

I would add that it is vital that you have a highly organized event so that volunteers receive the best impression of your organization. In addition, volunteers must have a clear understanding of how their volunteering will impact lives. It is also vital, to clearly communicate the impact of the volunteers have made at the end of the event. For example, tell volunteers as you wrap up that because of their efforts 500 children will receive backpacks full of school supplies.

A Welcoming relaxed atmosphere is important. Questions to draw out ideas. How do you think we can do it? What do you think about this? What do you think would work ? Would you like to do that? I find if people think it's their own idea they try / work harder.

Create a board where volunteers can place post it notes with questions, thoughts, feelings and new learnings. This way the information flows fluidly through the days and weeks of an operation. If the staffing changes, the k owl edge and pulls of the operation grows in real time.
