How can you encourage active listening to improve meeting participation?

In addition to defining the purpose and agenda, setting out what you expect from each other otherwise known as setting ground rules is a good idea. You can unpack what really listening to each other means. For example, listening to understand rather than to reply, asking open and curious questions, not interrupting and responding by saying "Yes, AND..." rather than "Yes, BUT..." so that we are building upon each other's ideas.

In defining your purpose and agenda, you should throw in your expectation from the session. How you would appreciate to get contribution, question, and feedback from ALL participants. Emphasizing the ‘all’ puts them on their toes but in a positive way. Trust me people do not want to be caught unawares.

Not only should an agenda be provided or presented to the participants during the meeting but in advance. The idea behind active listening is that the attendees come prepared to intentionally listen. Having the agenda a day or two before the meeting allows your audience time to review topics and prepare thoughtful questions, provide answers or give feedback during the meeting. If the first time they see the agenda is after walking into the room, chances are they will be reading the agenda and not paying attention to the person leading the discussion.

One thing I've found useful is Framing questions in a way that encourages detailed and meaningful responses rather than simple yes/no answers. Example: Instead of asking, "Did you understand the project update?" try, "What are your thoughts on the latest project update, and how do you see it impacting our team's goals?"

This ties back to defining the agenda, but the rubber hits the road when you start asking people to actively participate in sharing ideas and answering questions (including ice-breakers). Especially if there are more than a few people in the room, you'll get the most from your introverts by giving them the questions in advance. That allows them to process the questions internally and provide better answers than what they'd likely come up with on the spot in a haze of social anxiety. Not only will they give better answers, but they're apt to spend more time actively listening if they're not scrambling in their own heads to work out what they want to say when the mic gets passed to them.

Follow through is one of the most important steps to encourage active listening and participation. Even a small touch point builds trust! And without it, that trust can break down pretty easily. I’m sure we can all remember a time when someone asked for our perspective and then didn’t follow up. This sends a message that the contribution wasn’t valuable. Follow through doesn’t need to be complex to work. It can be as simple as emailing the group to thank people for sharing. This is essential if you want to continue building trust.
