How can you effectively track project budgets and timelines when working remotely?

In our remote work journey, ?? Asana emerged as our superhero for tracking project budgets and timelines. It was like having a virtual project command center! We listed tasks, set deadlines, and voila—everyone saw the big picture unfold. ?? Regularly updating tasks in Asana became our secret sauce. If something needed more time, a quick tweak in Asana saved the day. Asana transformed remote work from scattered to smooth, making budget and timeline tracking feel like a breeze. ??

The project should be planned well with tasks, deliverables, sub-deliverables, and milestones. The goals and expectations should be set clearly. The team charter should have a clear understanding of the project team's background and their alignment needs to be planned. The idea is to make sure that the critical path does not have any delays. This will eliminate slacks and thereby reducing scope creep.

Setting clear goals and expectations in a remote environment is not different in an on-site setting. Before moving full remote, our team utilized a Kanban board and actual Post-its (there is satisfaction when physically moving a Post-it to the "done" column!). However, remote work offers equally effective, if not superior, opportunities for goal management and issue tracking. An added risk in remote settings is the nature of communication in online meetings. The reduction in informal communication cues can impoverish the conversation and potentially lead to misunderstandings.

When possible, if budget is required in order to complete a specific milestone, give the owner of that specific milestone control (with rules) of any related allocated budget. If there are any task dependencies, ensure that each member of each different task (if they work in different departments) knows each other as well as relevant point of escalations. Set different layers of budget approval to decrease the risk of economic losses.

At the same time, as more companies have embraced fully remote or hybrid work models, these tools have significantly improved. For instance, Atlassian's Jira and Confluence is a clear example as I have seen a substantial enhancement in its functionality tailored to better support remote teams.

I've noticed that the approach to time tracking differs depending on the culture and structure of a company, with differences at the team level. From a project management perspective, a key necessity is to log time spent on various tasks. This isn't just useful for project planning. It is data that can be used for estimates for upcoming projects. When it comes to tools, the LinkedIn suggestions come from an AI-generated piece, the tools mentioned there are for personal finance. A piece of advice: don't underestimate the power of Excel in project budgeting. Additionally, project management platforms like Asana, Monday, and Wrike are also exceptionally capable in terms of budget planning and tracking.

I've found success by building time/budget progress tracking into my regular routine. Depending on the project I have tracked these items weekly or as frequently as every 2-3 days. The key here is to maintain consistency. The tools I rely on are whatever calendar/task tracking application my organization used, and I would leverage the reminder/tasking function to notify me on the desired cadence to review the project progress and budget.

Communication is key for a successful Project Manager. This is specially true in a remote environment. Always make sure to include all stakeholders in any significant communications. Make sure to follow a pre-determined communications plan throughout the life of the project. This will maintain consistency across the different communications channels.

I would like to share our actions on it while we tracking APAC & ASEAN region projects monitoring from India PMO office. Breaking down the project into milestones and set deadlines for each. This makes it easier to track progress and identify potential delays before they impact the overall timeline. Schedule regular virtual meetings to discuss project progress, roadblocks, and upcoming tasks. Clearly defining the project scope and deliverables at the outset.
