Always use a list of qualifications needed for the post, be impartial, be careful about the bias which might be causing a misjudged situation. Make sure you conduct a legit reference check, compare the statement of the candidate with their CV, don't complicate the interview with unnecessary questions, instead have a number of standard questions to attend to.

We are only human, and making mistakes is all part of growing and developing however, one thing I have found especially helpful, is creating a host of template emails to personalise to candidates. This super useful when confirming interviews in particular. Also, when pre-screening candidates, I like to use different probing questions to gather useful information to send across to the hiring manager. The questions can vary depending on the role and experience level. This provides insightful information for the hiring manager, but also shows the candidate that I have a genuine interest in their skills and experience.

The best way to maintaining a high level of detail for candidates (and clients!) is diligent note taking and making sure those notes make it into your ATS. Detailed notes during calls and making sure you keep track of those can save so much time in future conversations and networking, while also creating a stronger relationship with your candidates. If you have a good routine in your process to make sure you are communicating with your client and understand their needs, it is a smooth transition into the conversation and candidate vetting process. During every conversation, I am live typing/writing notes about each candidate I speak with so I have a running documentation of their experience, their pain points, their motivators, and it helps me to stay organized while also building a strong database that is clear and effective in future use.

Having a super dialed in template will sky rocket your results. Hands down, do not neglect this effort. Templates help to provide a consistent quality for your clients and communicate your level of expectation for doing business. From a TA perspective: Anytime I chat with a candidate, I open their profile and I type/take notes as they speak, in their words. I can always go back and update spelling mistakes, but the content is most important IMO. I also ensure my verbal messaging (company policies, benefits, comp etc.) is almost verbatim to ensure trust and accountability within the team. This way I know exactly what has been communicated to the candidate in conjuction with my notes, and in turn helps significantly reduce miscommunications and errors. Automating and streamlining processes help considerably with errors, work from templates wherever possible. Templates can be created based on the country, employment type, comp structure, internal, external etc.

Its so easy to make common mistakes, especially if you are moving a mile a minute. For anyone I submit, I always do a write up in various tools to double check spelling and grammatical errors. "copy, paste, fix, repeat". We all make errors regardless but when it comes to being productive, its more efficient to use these tools at your disposal when checking errors.

I set tasks for myself in Outlook. This then reminds me the exact date when I need to follow up with candidates for an update. I find this helps me dramatically in staying organized.

Providing an update to your candidates letting them know as much as you can about an evolving hiring timeline, what to expect next and just checking back in to ensure they aren’t feeling lost in the process can pay dividends in terms of candidate drop off and fostering a positive and lasting impression. The same goes for hiring manager relationships, by providing regular updates and check ins help keep your effort moving along and ensuring steps aren’t missed along the way.

Asking about yourself is boring, and probably won't yield candid answers, especially if you need constructive criticism. Ask your candidates about other recruiters instead. Who are the best recruiter(s) they've ever worked with? What makes them so? What's one thing someone else did that they wish every recruiter did? When they talk about recruiters with their peers, what do they commiserate about? What's one thing they wish every recruiter knew? This question style makes it safer for candidates to give real feedback, without framing it in personal terms.

Know yourself, you know best in your daily work life where you have more struggle or challenges. So if you seem to be unsuccessful in a certain area ask for feedback and help to identify why. Ask candidates about their experience working with you and listen to the feedback they provide. Your candidates are your customer as much as the hiring manager at your company is so it is important that they have a great experience with you. Be open to learn and grow, and take action to do so in areas where you have room for improvement.

Agree. This is also a sign of maturity. Many people are not willing to ask for feedback for unfortunate reasons including pride. But the thing that many do not realize is the way you become smarter at your job is when you ask. Especially if you are a newbie. Not knowing everything is not something to be ashamed of.

One thing I know to be absolutely true is that every successful recruiter tends to be an expert in at least 2 areas. Those areas can be sourcing, time management, candidate relationships, metrics & data, selling, market analysis etc. the list goes on and on. Pay attention to your own process and identify where you spend most of your time stuck daily, thats usually where you have area to improve. Then, seek out those who tend to be successful in that craft and learn from them. The ability to seek guidance in areas you may not be the best at, will increase your productivity exponentially. For me, its time management and thats always a work in progress.

I agree. And to add to that, these things require discipline especially nowadays when attention span is becoming shorter and people will not do things unless required. Even though tools are readily available, if you do not have the flare in you to utilize them, it won't work.

Constantly ask your candidates what would make them stand out compared to others with similar job titles, descriptions, and qualifications. There's only so many ways to describe many job functions; the best recruiters spur candidates to think like a hiring manager (not merely like themselves), especially at resume, submittal, and interview phases. Most candidates can do most of the roles you submit them to and/or they interview for; what makes your candidate the best decision, especially in an ocean of similar options?

It's definitely important to not become content with stale job postings. Continual research, trial and errors with new titles, job descriptions, all help make my job slightly easier by reaching quality candidates.

To become an expert in an industry segment as a recruiter curiosity is key! We often do not have an educational background which aligns with the background of your candidates (in my case Biomedical Engineers etc.). The only way to create a high-level conversation is to be eager to understand what they are doing and how they could make an impact in your available role. On the other hand, understanding the business of your client with the pros and cons also makes you much more trustworthy towards your potential candidates.

Curiosity? Extend it beyond just the market, industry, or company. Think in reverse. Candidates. This is where you can exercise your curiosity too. Avoid overwhelming them with questions, but always express real interest. From the very beginning, try to understand their current role, motivations, and aspirations. During the process, keep checking in. How did they feel about the interview? What are their thoughts and concerns now? Understanding these nuances can be invaluable later on.

As a result, the work is generally more accurate and freer of errors. People who pay attention to detail don’t just get it right on the first try; they review their work to see what details they missed on the first go around. Set aside time to review your work before the deadline to catch these details. Give yourself a cushion of time, so you’re not rushing through any edits.
