How can you creatively engage volunteers in outreach activities?

In my department, we creatively engage volunteers in outreach activities focused on resource mobilization and partnerships. We empower volunteers to propose innovative ideas, including donor pipeline tracking tools, donor website tools, and conducting field visits that enable them to highlight compelling stories about the organization's impact. The regular feedback mechanisms ensure volunteers' voices are heard, and networking opportunities round out the strategy, facilitating connections with professionals, potential partners, and donors. This holistic approach has helped maximize volunteers' contributions to successful resource mobilization and partnership opportunities.

One needs to understand the skills set and interest of volunteers for a streamlined engagement. Creating a feedback loop is equally important to gather information on their experiences for a more rewarding engagement in the future.

Defining clear goals and expectations is essential for effectively engaging volunteers in outreach activities. Establish specific objectives for each project, task, or event, ensuring they align with the overall mission of your outreach. This clarity helps match volunteer skills, interests, and availability with appropriate tasks, maximizing the impact of their efforts. Effective communication of these goals to your volunteers is crucial. Provide them with detailed plans and expectations for each activity beforehand. This approach not only facilitates smooth execution of outreach activities but also enhances volunteer satisfaction and recognition.

One thing I've found helpful is to focus on one broad-based issue that can speak to multiple employees interests. For example, a focus on food rescue can engage and motivate many different stakeholders to get involved: those who are interested in the environmental impact of waste, those who are interested in decreasing hunger, those who are interested in saving money (hello finance team!).

Foster creativity by aligning volunteers' passions with outreach goals. Implement themed events or projects that allow them to leverage their unique skills and interests. Provide autonomy for individual initiatives within a broader framework, encouraging innovative contributions. Recognize and celebrate their achievements regularly, creating a sense of ownership and community. This approach taps into their intrinsic motivation, making volunteer engagement a dynamic and fulfilling experience.

One of the strands of my line of work is youth empowerment. A part of that includes my team recruiting 25 young local volunteers every 18 to 24 months to take them on a transformational journey through our Youth Empowerment Board (YEB). The YEB plays a key role in youth voice and decision-making; contributing to our organisation’s governance (we are currently graded G1 by the regulator, the equivalent to outstanding). Placing volunteers and their views at the heart of decision-making not only contributes to keeping your project(s) or programme(s) current (alongside numerous other benefits), but it also paves the way for community activism and identifying talent locally.

in my experience, it is important that volunteers have a sense of ownership in the project. The more responsibility you can give the volunteers in making the decisions and getting it organized the better. And the results usually prove that out. Also, a little friendly competition among the volunteers doesn’t hurt. Further, it is very important to recognize their efforts and contributions in a meaningful way then of course to celebrate success helps to foster positive attitude for future projects.

Creating a diverse network of volunteers is a skill! To do so, we must value our volunteers and engage them within the organization. The relationship has to be a two-way street. How can we pour into them as well? Understanding the skillet of each volunteer will allow you to match their strengths and enhance their weaknesses. Volunteers should be evaluated and provided feedback on the work they’re doing. They should also have an opportunity to provide feedback relating to their Manager and the impact of the work they’re doing.

Involving volunteers in organizational decision-making is crucial for three key reasons: Diverse Perspectives: Volunteers bring varied backgrounds, experiences, and perspectives, ensuring a range of viewpoints for comprehensive solutions. Enhanced Creativity: Volunteers contribute fresh ideas, fostering a creative environment for innovative solutions, vital for organizational adaptability and growth. Increased Commitment and Engagement: Active participation in decision-making instills a strong sense of ownership, leading to heightened volunteer engagement, motivation, and dedication to the organization's goals. People want to belong. This is a powerful way to include them!

In my experience I feel involvement keep volunteers engaged and motivated especially when they are included in the decision making. When volunteers find their roles interesting and enjoyable, they are more likely to continue contributing their time and effort.

When you do, make sure to thank each person individually and specifically. Ask their thoughts of the activity, what else they’d like to suggest and who else should be included. This show of appreciation and interest will keep them engaged and an advocate for the activity and organization.

Diversifying your outreach activities is key to keeping volunteers engaged and reaching a wider audience. Offer a variety of activities like workshops, presentations, campaigns, surveys, and community events to maintain volunteer interest and cater to different skills. Incorporate a mix of online, offline, and hybrid methods to adapt to various preferences and expand your reach. Experiment with creative formats and tools such as interactive games, quizzes, informative videos, or engaging podcasts.

Variety is the spice of life! Volunteers are go-getters to begin with; they thrive in environments that provide many opportunities and ways to help. The pandemic has taught us all the value of offering a multitude of methods for receiving and dispensing information. Varying those platforms, mediums, and technologies is a great way to ensure the message of the organization is similar across the board. This is another way to tap into the diversity of the volunteers and draw on the strengths of each individual giving of themselves.

When engaging volunteers, it’s important to remember to appreciate those who take the time to support your cause. Here are a few ways I have witnessed folks do so in the past and have done so myself: - Shoutouts on social media and in emails and in person - Personalized Handwritten snail mail letters/cards - Continuous positive affirmations - Saying these 2 words: Thank you!

That all sounds excellent when woven with actual caring support for each individual, known collectively as the volunteers. Find out the reasons for volunteer attrition. If burnout is a reason, that is a red flag indication of disrespect and exploitation. Volunteers that are in caring systems thrive because they feel a sense of purpose on a team with true friendship and they are supported by healthy snacks & hydration that doesn’t undermine their personal health & wellbeing. Far too many 501(c)3 organizations are just ways for greedy people to balance their profit-loss statements while undermining true wellbeing & empowerment to eliminate the root causes of chronic problems of health, blight, poverty, violence.

Volunteers are always eager to learn new and exciting things. When bringing in volunteers, consider organizing a training workshop which can include interpersonal communication, story writing, and community engagement. During these workshops, invite social development experts who can share their experiences and discuss various successful outreach activities that positively impacted communities. This helps volunteers understand how their small efforts can contribute to significant changes in someone's life. Additionally, volunteers can plan activities such as cultural events and celebrations. Involving them in these tasks adds interest and fun to the volunteering experience.

Ensure that your outreach events are inclusive and accessible to everyone. Embrace diversity and make volunteers feel that their unique backgrounds and perspectives are valued assets to the cause. Offer ongoing learning opportunities. This could include webinars, seminars, or workshops that deepen volunteers' understanding of the cause and provide avenues for skill development. Paint a vivid picture of the positive change your outreach can achieve. Emphasize how each volunteer contributes to a larger, transformative vision. This sense of purpose will ignite their passion.

Training and support are better cultivated when the environment lends itself to building safe and positive human connections. Career & Technical Education has the ability to build a positive stakeholder network of support for our students and in turn naturally lends opportunities for students to engage with the community. Just like it takes a village to raise a child, it takes an ecosystem to grow an entrepreneur. Entrepreneurship represents the hope of a bright future for any society due to the ingenuity to create something more amazing and beneficial than previously considered.

Providing on-going training and support in multimedia formats in addition to offering in-person opportunities can boost volunteer retention. Also, it helps to solicit training and support needs from volunteers to better engage them and enhance their overall learning experience.

Celebrating and appreciating volunteers is crucial for maintaining a positive and motivated team. Acknowledge their dedication and hard work regularly, whether it's through simple thank-you notes or public recognition in meetings or newsletters. Showcase their successes and impacts, highlighting the number of individuals reached or positive outcomes achieved through their efforts. Such acknowledgments reinforce the value of their contributions. Additionally, consider implementing a recognition program with certificates, badges, or small gifts as tangible tokens of appreciation.

Recognition? Who doesn't like being appreciated and celebrated? Its important to identify and expose the great work others are investing into any project, as volunteers, you have to admire their commitment. Giving an individual a sense of belonging goes a long way, not as to get something out of it, rather, enhancing their potential and creating a potential opportunity for their success!!

Recognize volunteers privately with a snail mail note, it will stand out because no one sends snail mail nowadays. Alternatively, you can recognize volunteers publicly, by sharing their photo, a summary of their contribution and a thank you on your social media channels, be sure to tag their handles!

Recognize and celebrate milestones and achievements. Whether it's a volunteer's anniversary or the completion of a significant project, organizing recognition events can foster a sense of accomplishment and community. This could range from small appreciation ceremonies to larger, themed celebrations.

Social games are so powerful and underrated! I've adapted quick social games from things like Family Fued, tac-tac-toe and names pulled from a hat to help add levity, and disarm volunteers. It helps them share a laugh and get to know eachother better. Once they feel like they know eachother better, connections form. Now, it's not just a random group of people. It's the beginning of a sense of community! #powerful!

Turn outreach into an exciting game! Design challenges, missions, or competitions that volunteers can partake in. This gamified approach adds an element of fun, fostering friendly competition and camaraderie. Conduct workshops on the power of storytelling. Equip volunteers with the skills to share compelling narratives about your cause. Stories resonate deeply, creating emotional connections that drive engagement.

One way that has been very effective is by harnessing people's strengths and passions. Don't just focus on their vocations but also on their passions and hobbies. Not everyone's vocation brings out the excitement for them but surely, their hobby will. And you need that in an outreach.

Introduce social mixers to create a relaxed environment where volunteers can interact casually. This can involve themed events, such as potluck dinners, game nights, or movie screenings. Encourage volunteers to share their interests and hobbies, providing an opportunity for them to connect on a personal level.

We can creatively engage volunteers by conducting interactive workshops that underscore the significance of their contributions. Through storytelling, we can share inspiring stories, fostering a sense of belonging. We can introduce gamification in tasks to inject fun and competitiveness. We can initiate peer recognition programs where volunteers acknowledge each other's efforts. We can facilitate skill-based volunteering, allowing individuals to leverage their unique abilities. We can offer virtual volunteering opportunities for added flexibility. Lastly, we can maintain open communication channels for feedback and suggestions, ensuring volunteers feel heard and valued.

Many volunteers, especially those already employed in the helping professions- are willing to donate time, but cannot afford to miss work, pay for travel related expenses and work for free. The Red Cross for example, has a model that allows for time donation without travel or incidental expenses. Many prospective volunteers are priced out of volunteerism due to the heavy handed nature of fundraisers. If one donates time, there is often an expectation of financial contribution as well (such as missed work). In order to serve on boards, many non profits require thousands of dollars donation to the organization in addition to time and travel expenses for meetings, reducing diversity of perspective and socioeconomic status.

Neighborhood meet, greet and discuss that provide safe space to share. Could be themed or potluck, a game night or movie night so that events are multigenerational.

Be sure to communicate and help people buy into the purpose, mission and vision. Be sure they know the goal and equip them with the tools to get there.
