As a Professional Organizer, I find it key to understand the personality and physicality of my clients at this stage, as well. Is the end user of the organization being created highly distractible? Are they dealing with memory/recall issues? How tall are they? Right handed or left? Working to think through the experience of the person who will use the space helps ensure that it’s individually tailored, which serves the best odds of not only creating, but maintaining the processes and procedures put in place.

An important thing to note her is that sourcing your tools (which often looks like shopping for bins and baskets) is not Step 1. Often the impulse is to to purchase cute bins right off the bat, but waiting until you’re at this stage of the process ensures that you have the number and size of tools that you actually need. In addition, be sure to focus on function, not just firm. A matching set of baskets might look lovely, but if there’s no way to label them, you’ve created an organization problem as you were trying to solve an organization problem.

4 Set your rules

The next step is to establish some rules and guidelines for your system. Rules help you maintain consistency and clarity in your system, and prevent confusion and duplication. Some examples of rules are: when and how often to review your system, what to do with incoming items or tasks, how to prioritize and delegate tasks, how to handle exceptions or emergencies, how to archive or discard items, etc. You can write down your rules and keep them handy, or use reminders and notifications to help you follow them.
