In my experience, it's important to benchmark your school's data with similar schools, especially competitor schools. This will allow a school to understand where they are doing well and where they might need to improve.

Look at student achievement, enrollment, demographics, and feedback. This data shows your school's strong points and gaps. Discuss with staff, students, and families. Their views are key to understanding real needs and priorities. From your analysis, make a list of needed resources like staff, equipment, materials, facility upgrades, or programs. Order these needs by how urgent they are and how much they'll impact student learning and well-being, as well as fit with school goals.

Present your needs with graphs, charts, infographics, videos, or photos. These make your message clearer and more engaging. Think about what your stakeholders prefer and can easily access. Parents might like emails or social media, while staff may respond better to presentations (in an email.) Don't feel the need to go over this ad nauseum in meetings. Whatever method or format you choose, keep your message clear and to the point, linking it to your school's goals.

At the institutional level, it's imperative to show the long run financial and operational model and project where surpluses and deficits will likely come about. As we work with clients, we have to develop dynamic models that shows how changes in enrollments and net tuition revenues might ebb and flow across three and five years and where expenses might start to spike. Often, we see a "frog in the frying pan" situation where decreases in enrollments or rapid increases in tuition discounting hit a tipping point that pushes an institution to an existential crisis. The key evidence/rationale for new resources & initiatives needs to come before this crisis arrives and show how it can mitigate the big issues well before any crisis arrives.

Always thank everybody for their time, attention, and resources. This can be through notes, public mentions, or at events. If online it is extra important to make it specific. Nobody cares about your general thank you virtually. Point out and appreciate everyone's contributions, whether in providing resources, participating in activities, or supporting new initiatives. Share and celebrate successes with those involved. Show your gratitude and pride in their contributions. Regularly inform everyone about how their support is making a difference in the school.
